We are seeking a detail-oriented and proactive Project Coordinator to join our team. The ideal candidate will have 2 to 5 years of relevant experience and a passion for streamlining processes and supporting project management initiatives. This role plays a critical part in our Demand Management Process, ensuring the effective intake, documentation, and prioritization of Infrastructure and Operations resource requests through the ServiceNow platform. The Project Coordinator will work closely with the Demand Manager, business units, and IT teams to facilitate the successful execution of requests and projects.
Key Responsibilities:
Demand Management Support:
Coordinate the demand intake process through ServiceNow, ensuring all scope, requirements, timelines, and budgets are accurately documented.
Collaborate with business and IT teams to gather required information for demand requests.
Track changes to demand requests and escalate as needed.
Project Coordination:
Update and maintain project plans and related documentation, ensuring accuracy and timeliness.
Assist in scheduling meetings, documenting discussions, and following up on action items.
Help prepare status reports, metrics, and presentations for stakeholders.
Resource Allocation & Prioritization:
Work with the Demand Manager to support the prioritization of requests and the allocation of resources.
Monitor and report on demand and resource trends to inform decision-making.
Documentation & Reporting:
Ensure that all project-related documentation is current, well-organized, and accessible.
Support reporting and maintenance of metrics associated with demand and project management.
Qualifications:
2 to 5 years in a project coordination or similar role
Strong knowledge of MS Project, Visio, Excel, and Word
Experience with ServiceNow SPM project management is strongly preferred
Excellent oral and written communication abilities to engage with stakeholders at all levels
Exceptional attention to detail and ability to manage multiple tasks simultaneously
A team player who can work effectively across departments to achieve shared goals
