About the Role

As the Executive Assistant, you will play a crucial role in supporting our Director of People & HR with diverse tasks that drive both day-to-day operations and long-term projects. This role is designed for a detail-oriented, proactive professional with a passion for HR processes, organizational excellence, and efficient communication. Your efforts will directly contribute to Pinecrest Consulting's unique, people-centered culture and our commitment to providing the highest level of service to our team and clients.

What You'll Do
  • Documentation & Record Keeping: Take diligent notes, maintain accurate documentation, and organize HR files, both digital and physical, ensuring compliance and accessibility.
  • Event Coordination: Assist in organizing employee engagement activities, team-building events, and company meetings.
  • Meeting Preparation: Aid in preparing for meetings by drafting slides, creating meeting notes, and compiling documents.
  • Email & Document Requests: Respond to emails ensuring timely, professional communication. Schedule meetings, prioritize requests, and ensure smooth day-to-day operations.
  • HR Support: Support recruiting efforts by coordinating candidate communications, scheduling interviews, and managing job postings.
  • Onboarding & Offboarding: Manage the entire onboarding and offboarding process, from setting up desks and email accounts to uploading necessary materials and documentation for new hires.
  • Benefits Administration: Provide assistance with employee benefits inquiries, onboarding benefits processes, and document updates.
  • Compliance & Policy Writing: Assist in developing, writing, and updating company policies, tracking compliance requirements, and coordinating HR-related communications.
  • Project Assistance: Assist with various HR initiatives and projects, maintaining timelines and facilitating communication with relevant stakeholders.

What We're Looking For
  • Experience: Proven experience as an Executive Assistant or similar role, preferably with a focus on HR or within a consulting environment.
  • Organization & Attention to Detail: Demonstrates strong organizational skills, high attention to detail, and ability to manage multiple priorities with accuracy.
  • Strong Communication Skills: Skilled in both verbal and written communication, with the ability to draft professional emails, create slides, and ensure clarity in reporting.
  • Computer Savvy: Proficient in Microsoft Office Suite, Google Workspace, and ideally with HR management systems.
  • Administrative Coordination: Experienced in managing logistics, coordinating tasks, and supporting event planning or meeting preparation.
  • Resourceful & Adaptable: Problem-solving mindset with the ability to adapt to shifting priorities, identify process improvements, and take initiative.
  • Trustworthy & Confidential: Maintains the utmost confidentiality in handling sensitive information, always acting with integrity and discretion.
  • Interpersonal Skills: Builds positive relationships with team members and external contacts, demonstrating empathy and a customer-focused approach.
  • Follow-up & Multitasking Ability: Well-organized and detail-oriented, with a strong ability to multitask and follow up on projects, tasks, and requests efficiently.
