The Preconstruction Coordinator plays a key role in facilitating the successful start of projects by securing subcontractor proposals and executing agreements. This role provides essential administrative support to the Preconstruction team, including maintaining the bid management system directory, coordinating bid solicitations, assisting with contract preparation and managing insurance and compliance documentation.
Key Responsibilities
Bid Management System:
Maintain and update the bid management system directory, keeping contractor and trade partner information accurate and current.
Organize and maintain bid documents, addenda, and correspondence for easy reference.
Bid Solicitation:
Coordinate bid solicitation processes, including distributing invitations to bid and facilitating communications with contractors.
Track and follow up on bid submissions to ensure timely responses from bidders.
Contracts & Compliance:
Assist in preparing and distributing contracts to awarded bidders.
Monitor the collection and review of insurance certificates and other compliance documents to ensure alignment with project requirements.
Administrative Support:
Provide general administrative support to the Preconstruction team, including scheduling meetings, managing correspondence, and maintaining project files.
Collaborate with internal teams to facilitate a smooth handoff from preconstruction to operations.

Qualifications
Prior experience in construction administration, preconstruction services, or a related field to manage bid processes and organize preconstruction documentation.
With bid management system experience, you will track submissions and maintain an accurate directory of subcontractors and vendors.
Attention to detail to prepare error-free bid solicitations, tracking compliance documentation, and supporting the efficient execution of preconstruction activities.
