Position Summary:

The Academic Support Services Specialist is an integral part of the faculty support team at the Raymond A. Mason School of Business (MSOB) at William & Mary. This position will provide fiscal and administrative support for all areas of Academic Support Services including budget and financial operations, faculty hiring, purchasing, scheduling, and other faculty needs.Reporting directly to the Director of Academic Affairs, this position operates with autonomy in their daily responsibilities for problem-solving, fiscal needs, and the oversight of day-to-day faculty needs. In collaboration with the Senior Associate Dean for Faculty and the Academic Affairs Office, this role will:


  • Oversee and asses the strategy and implementation of all Academic Support Services including the effectiveness of current services.

  • Assist with faculty purchasing operations to include creating purchase orders and reconciling invoices.

  • Provide guidance related to faculty hiring such arranging travel, catering, scheduling meetings, etc.

  • Provide general front line and academic support services to all Business School faculty.

  • Report on the Faculty Research and Discretionary State Funding Budget for approximately 60+ faculty members.

  • Manage the Academic Support Services office including the mailroom and supply tracking.

  • Perform various additional duties to support other MSOB activities as needed.

  • Some evening and weekend work as needed.

  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications:



  • Bachelor's degree or equivalent combination of education, training and/or experience.

  • Significant experience working in office administration with an understanding of budgets, general office logistics, and/or departmental support.

  • Experience with overseeing budgets, general accounting principles and procedures, and internal controls.

  • Experience addressing daily operational needs of a business unit, including policy & procedure development and application.

  • Interpersonal, written, and verbal communication skills.

  • Demonstrated exceptional time management, prioritization, and organizational skills with the ability to meet competing deadlines.

  • Detail oriented mindset and a dedication to accuracy.

  • Demonstrated strong analytical and critical thinking skills.


Preferred Qualifications:



  • Experience with Banner, Qlik, or other similar financial reporting systems.

  • Experience in a higher education environment, preferably in graduate education with an emphasis on faculty and program administration.

  • Management experience including developing objectives and policies, organizing workload for maximum efficiency and providing project logistics direction.

  • Experience analyzing and interpreting (academic) program data and course content.

  • Experience developing and managing budgets, including the ability to analyze financial operating data, remain within budget, and deliver financial reports utilizing financial management tools, databases and spreadsheets.

Advertised Pay Range:

Up to $48,000, commensurate with experience


Advertised Pay Range Statement:
