Our client, a Real Estate Investment Firm, is seeking an experienced, dedicated and professional Executive Coordinator/Office Manager to join their Boston office! Hybrid: 3 days onsite, 2 remote with flexibility as needed

Hours: 9am-5pm

Compensation: $80 - $90k base + disc bonus eligibility

3 - 5 + years of Executive Assistant, Administrative or Office Management experience required.

Key Responsibilities Include:
  • Maintain a positive attitude and a strong sense of urgency when handling general office organization and providing executive support.
  • Oversee calendar management and coordinate executive scheduling with a focus on confidentiality.
  • Arrange executive travel plans, including the preparation of detailed itineraries.
  • Handle executive administrative tasks, such as processing expense reimbursements and tracking time.
  • Prepare meeting agendas, reports, and presentations.
  • Support employee onboarding and offboarding processes.
  • Manage administrative office operations, including shipping and receiving, mail distribution, screening calls and visitors, maintaining office aesthetics, organizing conference rooms, and coordinating with landlords and property management.

Qualifications:
  • Bachelor's degree required.
  • Minimum of 3 years of experience in an administrative support role, such as assistant or coordinator.
  • Exceptional organizational skills with strong attention to detail and a commitment to punctuality.
  • Outstanding time management abilities, capable of handling multiple tasks and deadlines in a fast-paced, dynamic environment.
  • A kind and positive demeanor, coupled with the ability to effectively manage executive expectations.
  • Proactive, eager to learn, ask questions, and contribute in a team-oriented setting.
  • Demonstrated ability to maintain clear communication, follow through on tasks, and provide effective support to leadership.
