Overview:
Our client, a prestigious architectural firm, is seeking a highly organized and proactive Executive Assistant to support the Founder and CEO. The ideal candidate will be adept at managing multiple projects at once while ensuring the smooth flow of operations.
Key Responsibilities:
Manage and maintain CEO's calendar, schedule meetings, and arrange travel plans.
Takeownership of various business and personal projects, including tracking renovations and coordinating with vendors for investment properties.
Handle all incoming communications, prioritize emails, and draft responses on behalf of the CEO.
Work closely with contractors, vendors, and other service providers for both business and personal tasks, ensuring timely execution and quality of work.
Maintain detailed project logs and status reports, keeping the CEO updated on the progress of ongoing initiatives.
Support with personal tasks as needed, managing personal schedules and arrangements.
Take initiative on projects and tasks, anticipating needs and resolving issues before they arise.
Qualifications:
College degree preferred
Prior experience as an executive assistant or in a project management role is preferred.
Strong organizational and time-management skills.
Ability to handle multiple tasks and prioritize effectively.
Excellent communication skills (written and verbal).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with project tracking or property management is a plus.
Ability to work independently and take ownership of tasks.
Strong attention to detail and problem-solving skills.
