ESSENTIAL JOB FUNCTIONS: • Serves as a trusted advisor to the CEO, President and/or executive team (executive) assigned, providing strategic insights and recommendations on business operations and organizational priorities. • Manages and prioritizes critical issues, ensuring the executive is well-prepared for all meetings, presentations, and decision-making processes. • Leads the development and implementation of executive-level initiatives, including strategic planning sessions, board meetings, and investor relations activities. • Command and oversee complex calendar management for the executive and leadership team, balancing competing priorities, minimizing disruptions, and ensuring optimal use of time across strategic objectives. • Meticulously plans complex travel itineraries for assigned executives, ensuring seamless execution of multi-leg trips with accommodations for last-minute changes or demands. • Creates time for the mind by safeguarding periods of focus and reflection for the executive, enabling strategic thinking and innovation amidst a demanding schedule. • Prepares for the future by proactively managing long-term projects and goals, ensuring the executive stays ahead of industry trends and is ready to capitalize on emerging opportunities. • Manage high-stakes communications on behalf of the executive, including drafting correspondence, reports, and presentations, while professionally representing the executive and brand in all interactions. • Coordinates and leads cross-functional projects, ensuring alignment with organizational goals and driving successful outcomes. • Analyzes and synthesizes complex information from various sources to produce executive summaries, briefing materials, and strategic recommendations. • Develops and maintains relationships with key internal and external stakeholders, including board members, investors, and industry partners. • Oversees the planning and execution of high-profile events, including executive retreats, board meetings, and investor conferences. • Implements and optimizes systems and processes to enhance executive productivity and organizational effectiveness. • Manages confidential and sensitive information with the utmost discretion and professionalism. • Serve as a liaison across professional departments, personal service providers, and external stakeholders to ensure seamless communication and collaboration. • Develop a unified system for managing both professional and personal priorities, ensuring alignment between business and personal calendars to avoid conflicts. • Assist in maintaining household efficiency by managing personal errands, household staff schedules, and vendor relationships. • Act as a point of contact for technical issues in both personal and professional environments, including setting up devices and troubleshooting. • Coordinate schedules and resources for fitness, medical appointments, and wellness activities, including family members when necessary. • Be available outside of standard work hours when needed for urgent matters, whether they are personal or professional. • Proactively identify and resolve potential issues or conflicts affecting the CEO's professional or personal life, acting as a trusted advisor to enhance executive effectiveness and organizational performance. • Performs other duties as assigned.
QUALIFICATIONS:
Education and Experience requirements: • A minimum of 10 years' experience in providing high-level executive support, ideally to C-suite executives, including managing complex calendars, travel arrangements, and confidential information. • A bachelor's degree in business administration, communications, or a related field is preferred; an MBA or advanced degree is a plus but not required. • Ability to juggle multiple tasks, prioritize effectively, and maintain impeccable attention to detail, with mastery in calendar management and optimizing an executive's time. • Capacity to anticipate the needs of the executive, foresee potential challenges, and proactively manage long-term projects, providing strategic recommendations based on a deep understanding of the business. • Outstanding verbal and written communication skills, capable of drafting high-quality reports, presentations, and correspondence, and effectively communicating on behalf of the executive. • Ability to build strong relationships with key stakeholders, handle sensitive situations with discretion, and represent the executive with poise and professionalism, navigating complex interpersonal dynamics. • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software, with familiarity in project management tools such as Asana, Basecamp and Smartsheet. • Proven track record of handling highly confidential and sensitive information with discretion and trustworthiness. • Ability to thrive in a fast-paced, high-pressure environment, with flexibility to adapt to changing priorities and remain calm under pressure. • Strong alignment with the company's values, mission, and brand, with the ability to understand and embody the company's culture in all interactions. • Strong analytical skills with a proactive approach to identifying and resolving potential issues, being resourceful and solution-oriented, capable of making sound decisions quickly. • Ability to manage both personal time and the executive's time efficiently, including safeguarding time for strategic thinking and personal reflection. • Ability to take initiative, lead projects, and manage cross-functional teams with a strong sense of ownership and accountability. • Experience in managing international travel and understanding global business environments, adept at navigating different time zones and cultural nuances. • Maintains a high level of professionalism and poise in all interactions, both within the organization and with external stakeholders. • Experience in the healthcare and pharmacy industry preferred. • Must be flexible and willing to work non-standard hours, if needed, including when requested by the Executive.
