Job Description:

The San Mateo County Private Defender program is currently looking to fill the Receptionist position. That position entails the following qualifications and responsibilities:

Qualifications:
  • College preferred but not required.
  • Ability to type at least 45 wpm
  • Must be bilingual - able to speak and understand Spanish fluently.
  • Strong customer service skills and organizational skills.
  • Some familiarity with legal terminology.
  • Ability to work well under stress and with a diverse community.
  • Proficient in Microsoft Office programs.
  • Ability to pay attention to detail and handle multiple projects.
  • Answers phone promptly and courteously.
  • Happy and energetic Individual with excellent communication skills.
  • High quality of work in a fast paced environment.
  • Warm, friendly and professional personality.
  • Quick learner and resourceful.
  • Ability to work independently.
  • Knowledge of general office equipment (copy machine, fax, postage machine, etc.)
  • Ability to lift 20 pounds.

Responsibilities:
  • Responsible for all incoming calls using multiple lines.
  • Greet walk-ins for the Private Defender Program.
  • Respond professionally and efficiently to inquiries from the general public as well as clients/guests who have been directed to Reception.
  • Maintain a clean and friendly waiting area.
  • Sort incoming mail as well as process outgoing mail.
  • Data Entry.
  • Process (distribute & notify via email) discovery received from DA's Office daily.
  • Follow up on requests from various email inboxes.
  • Take inventory on daily basis of supplies needed.
  • Make sure all printers and fax machines have sufficient paper each morning.
  • General administration tasks such as filing or faxing.
  • Book conference rooms as needed.
  • Provide support to office manager and other staff for smooth day-to-day operation of the office.
  • Must be able to sit, stand, lift, carry and bend.
  • Maintains safe and clean reception area by complying with procedures, rules and regulations.
  • All other duties as assigned.
