The San Mateo County Private Defender program is currently looking to fill the Receptionist position. That position entails the following qualifications and responsibilities:
Qualifications:
College preferred but not required.
Ability to type at least 45 wpm
Must be bilingual - able to speak and understand Spanish fluently.
Strong customer service skills and organizational skills.
Some familiarity with legal terminology.
Ability to work well under stress and with a diverse community.
Proficient in Microsoft Office programs.
Ability to pay attention to detail and handle multiple projects.
Answers phone promptly and courteously.
Happy and energetic Individual with excellent communication skills.
High quality of work in a fast paced environment.
Warm, friendly and professional personality.
Quick learner and resourceful.
Ability to work independently.
Knowledge of general office equipment (copy machine, fax, postage machine, etc.)
Ability to lift 20 pounds.
Responsibilities:
Responsible for all incoming calls using multiple lines.
Greet walk-ins for the Private Defender Program.
Respond professionally and efficiently to inquiries from the general public as well as clients/guests who have been directed to Reception.
Maintain a clean and friendly waiting area.
Sort incoming mail as well as process outgoing mail.
Data Entry.
Process (distribute & notify via email) discovery received from DA's Office daily.
Follow up on requests from various email inboxes.
Take inventory on daily basis of supplies needed.
Make sure all printers and fax machines have sufficient paper each morning.
General administration tasks such as filing or faxing.
Book conference rooms as needed.
Provide support to office manager and other staff for smooth day-to-day operation of the office.
Must be able to sit, stand, lift, carry and bend.
Maintains safe and clean reception area by complying with procedures, rules and regulations.
