Job Description:

Our Client in Rancocas, New Jersey is seeking an Executive Assistant to join their team! This is a DIRECT HIRE (not contract to hire) role with well-established company. This is a Full Time position, Monday through Friday, 8:00 am - 5:00 pm.

Job Duties:
  • Collect, compile, and organize data from various sources.
  • Maintain databases, spreadsheets, and documentation for executive reporting.
  • Assist in the preparation of reports, presentations, and summaries based on collected data.
  • Track and follow up on tasks, deadlines, and action items assigned to the executive or team.
  • Coordinate with team members to ensure timely completion of projects and tasks.
  • Set up reminders and ensure nothing falls through the cracks.
  • Attend meetings with the executive and transcribe detailed, accurate notes.
  • Distribute meeting minutes and follow up on action items with stakeholders.
  • Ensure records of discussions, decisions, and follow-up tasks are maintained.
  • Assist in streamlining communication between the executive and internal/external stakeholders.
  • Ensure clear, timely, and organized communication flows between departments and teams.
  • Draft and manage correspondence, emails, and other communication on behalf of the executive.
  • Manage the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Act as a gatekeeper for incoming communications and prioritize issues for the executive.
  • Prepare, organize, and maintain confidential files and documents.
  • Coordinate events, meetings, and conferences as needed.
  • Handle office operations, such as ordering supplies, maintaining equipment, and ensuring the smooth running of day-to-day activities.
  • Liaise with external vendors and partners as needed.
  • Assist with various special projects assigned by the executive.
  • Collaborate with internal departments and external partners to support project goals and deadlines.
  • Other duties as assigned

Qualifications:
  • Proven experience as an Executive Assistant or similar role.
  • Excellent organizational, communication, and multitasking skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other productivity tools.
  • Strong attention to detail and problem-solving abilities.
  • Ability to handle confidential information with discretion.
  • Familiarity with data collection, management, and reporting tools is a plus.
