We are seeking a highly organized, proactive, and detail-oriented Office Administrator and Bookkeeper to join our team. This role encompasses both administrative and financial responsibilities, ensuring efficient office operations and accurate financial management. The role also includes occasional site work, such as picking up permits from the city and handling other related errands to support the needs of the team.
Responsibilities
Office Administration:
Create and update subcontractors/vendor lists
Phone and Visitor Management:
Manage janitorial service and office supplies
Apply and Renew business license, software subscription, insurance renew.
Employee PTO Tracking:
Maintain and update company log in and passwords.
Oversee maintenance of company mobile phones, internet, and software systems.
Organize team activities and events, work with the Admin team to coordinate team-building initiatives.
Place orders for Design and Construction Departments:
Manage inbound and outbound mails
Occasional Site Work and Errands
Bookkeeping:
Accounts Payable
Payroll and Employee Reimbursement:
Accounts Receivable
Collections
Qualifications
5+ years of experience as an Office Administrator and Bookkeeper or in a similar role.
Strong understanding of accounting principles, specifically in AP, AR, and payroll management.
Proficiency with office management software and accounting tools (e.g., QuickBooks, Microsoft Office Suite).
Excellent organizational skills and ability to multitask.
Strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information.
Experience with vendor management, office supplies, and placing orders.
Must be able to perform occasional site-related tasks, including errands and permit pick-ups.
Must have a valid driver license.
Professional working proficiency in Mandarin a plus
