Our client, a private equity firm, specializing in consumer businesses, is looking to hire an EA to support the Partners overseeing Investor Relations. As the right hand to the Partner, you will play a key role in managing their calendar, travel, expenses, and daily administrative needs, while also supporting potential Investor Relations-related projects. The ideal candidate will be highly organized, discreet, and adept at managing time-sensitive matters independently.
Responsibilities:
Executive Support: Act as the primary administrative resource for the Partner leading Investor Relations, managing day-to-day tasks, and acting as a trusted liaison to internal and external stakeholders.
Calendar Management: Manage and prioritize the Partner's calendar, scheduling meetings with internal teams, investors, and external partners.
Travel Management: Coordinate complex domestic and international travel arrangements, often with minimal notice.
Expense Management: Track and manage expenses, prepare accurate and timely expense reports, ensuring compliance with company policies.
Investor Relations Support: Assist with Investor Relations-related projects and activities, such as preparing materials for investor meetings, compiling reports, and conducting research.
Event Management: Help plan and coordinate Investor Relations-related meetings and events, including logistics, venue coordination, attendee management, and preparing materials and presentations.
Project Management: Take ownership of ad-hoc administrative projects or Investor Relations initiatives that may arise.
Collaboration: Work closely with the broader Executive Support team to ensure smooth operations across the firm.
Requirements:
5+ years of experience in a similar administrative role supporting senior executives, ideally in financial services or a fast-paced corporate environment. Prior experience in investor relations, a huge plus.
Strong organizational skills with the ability to handle complex calendars and competing priorities.
Proactive, self-starter: Capable of anticipating needs and working independently with minimal supervision.
Detail-oriented: Demonstrates excellent attention to detail, ensuring tasks are completed with precision and accuracy.
Excellent communication skills: Written and verbal communication skills, with strong email and telephone etiquette.
Strong interpersonal skills: A collaborative team player who builds positive relationships both internally and externally.
Confidentiality: Ability to maintain the highest standards of professionalism and discretion when handling confidential information.
Tech-savvy: High proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and a willingness to learn new software as needed.
Bachelor's degree preferred.
The role is based in midtown NYC, in office Monday-Thursday.
