Our food distribution client in Flower Mound, TX is looking to hire an Office Administrative Assistant. This is a full-time, on-site, and direct hire position.
Job Responsibilities:
Greet and direct visitors at the front desk.
Answer, screen, and forward incoming calls to the appropriate personnel.
Operate office machines such as copiers, scanners, PCs, phones, and voicemail systems.
Perform general clerical tasks, including filing, typing reports/forms, and preparing memos or letters for management.
Update and maintain business insurance, contracts, registration, and licenses.
Order office supplies as requested by various departments.
Assist with record filing, report generation, and communication within the company.
Provide support to departments such as Sales, Purchasing, Accounting, and Warehouse, including:
Inputting, updating, and maintaining orders, invoices, and customer data in the company database.
Monitoring active purchase orders and ensuring timely completion.
Responding to basic customer inquiries about products, features, and procedures.
Assisting with shipping, receiving logistics, order inquiries, and returns.
Manage calendars and schedule appointments as required.
Prepare and maintain accounting documents and records with accuracy.
Perform basic bookkeeping tasks such as Accounts Receivable (A/R), Accounts Payable (A/P), and daily journal entries.
Review billing statements and invoices for accuracy and notify management of discrepancies.
Requirements & Qualifications:
1-3 years of office administration experience required.
Ability to work independently and adapt to changing assignments and workload.
