Our client is seeking a meticulous and dependable Document Scanner Specialist to join their team in Palo Alto. This role involves digitizing critical historical and operational documents with accuracy and attention to detail. The ideal candidate will excel in handling repetitive tasks, maintain confidentiality, and demonstrate a strong commitment to quality.
Key Responsibilities:
Document Preparation:
Organize and sort physical documents to prepare them for scanning.
Ensure documents are free of staples, clips, and other obstructions.
Identify double-sided pages and fragile documents for special handling.
Scanning Operations:
Operate high-speed scanners to digitize a variety of documents.
Adjust scanner settings for optimal image quality and accuracy.
Maintain focus during extended periods of scanning to ensure efficiency.
Quality Assurance:
Review scanned files to confirm clarity, completeness, and accuracy.
Re-scan documents as necessary to meet quality standards.
File Management:
Save and organize scanned files in digital systems or designated folders.
Accurately label and index files for easy retrieval.
Maintain detailed records of scanned files and completed tasks.
Confidentiality and Security:
Handle sensitive and confidential documents in compliance with company policies.
Ensure data privacy by adhering to all required security protocols.
Collaboration:
Communicate effectively with team members and supervisors.
Provide progress updates and address any issues that arise.
Schedule:
Monday, Tuesday, and Thursday, 9:00 AM - 5:00 PM (5-hour shifts). ( On-Site)
Not required to work on Wednesdays or Fridays.
Qualifications:
High school diploma or equivalent; additional training in document management is a plus.
Prior experience with document scanning equipment and software preferred.
Strong attention to detail and organizational skills.
Ability to focus on repetitive tasks for extended periods.
Basic computer skills, including file management and Microsoft Office.
Excellent communication and interpersonal skills.
