The Office and Finance Administrator is a key member of our team, providing essential support in administrative, bookkeeping, and fleet management duties. This role requires a highly organized, detail-oriented, and efficient professional with exceptional skills in Microsoft Office and a proactive approach to problem-solving. The position supports various office operations and contributes to the company's overall efficiency and success. Individual must act in a manner of integrity that shows support for the company, its values, and the team.
Qualifications:
Education: High school diploma or equivalent required; associate's degree or higher preferred.
Experience: Minimum of 2 years in a similar administrative role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) is essential.
Organizational Skills: Exceptional attention to detail and ability to manage multiple tasks efficiently.
Interpersonal Skills: Professional demeanor with excellent communication and customer service abilities.
Problem-Solving: Resourceful and proactive in addressing challenges and completing tasks.
Essential Functions:
Office administration
Serve as the office receptionist, greeting visitors, managing incoming calls, and handling correspondence.
Issue work orders for repair and maintenance of office equipment.
Fleet administrative duties
Record and track vehicle mileage quarterly.
Manage vehicle registration renewals.
Send out vehicle maintenance reminders.
Review the EZ Pass account to ensure accuracy and compliance.
Distribute updated auto insurance cards for fleet vehicles.
Coordinate/Organize driver safety training and monitor driving reports
Financial and bookkeeping support
Review and process daily and monthly credit card receipts.
Reconcile credit card statements to the general ledger.
Deposit and record customer checks, while applying payments to customer balances.
Setting up new vendors (and vendor changes) in the system.
Assist with customer invoicing
Enter and process vendor invoices
Assist with other basic A/P and A/R duties as assigned.
Event coordination and special projects
Assist in scheduling and organizing company and community events.
Order JEM apparel and safety gear for employees and company events
Undertake other special projects and tasks assigned by management.
Collaboration, maintaining a positive relationship with employees and clients.
Work closely with the Assistant Controller and CFO to support financial and administrative operations.
Ensure clear and consistent communication across teams.
Client satisfaction and customer service-oriented attitude with a demonstrated desire to exceed expectations.
