The Activity Coordinator will support efforts to provide tailored training and technical assistance to recipients of Workforce Innovation Grants and support linking feedback mechanisms to the Councils and MEL. They will also support efforts to build platforms for mutually beneficial collaboration and information sharing between program partners and stakeholders. They will support planning and coordinating tasks during various program activities.

Your Background & Skills

  • Bachelor's degree in business management, administration, human resource management or related field,
  • A minimum of 3 years of relevant work experience.
  • Very good command of English Language is required.
  • Demonstrated proficiency with Microsoft Office (Outlook, Word, PowerPoint, and Excel) Excellent attention to detail and strong organizational skills including time management, ability to prioritize multiple tasks in a fast-paced working environment, and ability to remain flexible while adhering to strict deadlines.
  • Excellent interpersonal, customer service, and communications skills, both oral and written required
  • Ability to follow oral and written instructions
  • Good writing skills in both English and Albanian Languages. Knowledge of Serbian or Bosnian Language is an asset.
  • Positive attitude and willingness to support and assist colleagues.
  • Must demonstrate valid proof of unrestricted work authorization in Kosovo.

Your Daily Tasks

  • Complete administrative duties and tasks that are integral to the project’s events and activities, in close coordination with the technical staff and management.
  • Provide required support in the execution of Quarterly Council Exchanges and Learning Summits.
  • Perform duties associated with administering, scheduling, organizing, and operating workshops, trainings and events, including but not limited to drafting training materials, contacting participants, preparing agendas, taking a register, designing materials, recommending vendors for services, supports the production and distribution of materials, coordinating logistics, and serving as liaison among the different stakeholders.
  • Design a calendar of events to keep track of the project’s events in coordination with the technical team.
  • Provide admin support in organizing accommodation and transport schedules for PSWD and participant teams - these will typically include liaising with service providers to facilitate timely and effective hotel bookings plus road and/or flight schedules as applicable.
  • Support Grant Implementation Monitoring by assisting in tracking the progress of grants and sub-awardees, ensuring compliance with project guidelines and milestones.
  • Monitor and track the project’s training and events regarding timelines and ensure deadlines are met.
  • Coordinate with Component 2 and monitoring and evaluation teams to collect required data from the sub awardees. Support the process of data collection and processing for reporting purposes.
  • Support facilitation of regular communication with project stakeholders, including private sector partners, training providers, and government agencies, to ensure alignment of project activities with their expectations and needs.
  • Support the Data and Performance Manager in data collection and data reviews, as needed.
  • Support efficient communication with sub awardees for data collection, weekly and quarterly reporting, organizing field visits, etc.
  • Represent the project publicly, as well as act as facilitator/moderator in events and conferences organized by the Activity.
  • Plan and conduct field visits to all sub awardees throughout Kosovo.
  • Assist in compiling necessary documentation and data for the renewal process of assigned programs under the direction of the Senior Workforce Innovation Manager.
  • Participate in meetings and discussions related to program renewal, assisting with logistics and documentation.
  • Schedule meetings, calls, and follow-up actions between the project team and country partners, facilitating effective communication.
  • Assist in drafting proposal sections, such as background information and program design.
  • Review proposal documents for accuracy and compliance, collaborating with project leadership and team members as required.
  • Assist in processing advance and payment requests submitted by sub awardees under the guidance of the Senior Workforce Innovations Manager.
  • Support project leadership in reviewing and approving financial documents within established approval thresholds.
  • Assist in monitoring expenditures to ensure alignment with budget allocations and funding restrictions.
  • Stay informed about updates to financial regulations and guidelines, assisting in ensuring compliance.
  • Contribute to the team’s effort by undertaking additional tasks and responsibilities as requested.
  • Other duties as assigned.
