This position coordinates and manages the bi-weekly payroll process (time & attendance) for USA and Canada for corporate, union and retail employees. The administrator will be responsible to maintain updated employee records in multiple systems, org charts and the benefit portal. He/she will be the first point of contact for employee inquiries related to payroll and time and attendance as well as initiate and complete the onboarding process for new employees related to I-9 and payroll.
Additional responsibilities include the preparation of various reports (e.g. monthly headcount, ad hoc, etc.) and review and process of HR vendor invoices in coordination with the Finance department.
MAIN RESPONSIBILITIES:
PAYROLL (60%)
The Payroll Administrator is responsible to gather, check, research and submit all the data related to the payroll process to the share service team, who is running payroll. The administrator will then review the results before submitting to the Sr. C&B manager for approval. Identify and determine the causes of problems related to compensation and benefits and develop recommendations for improvement
Responsible for Time & Attendance: ensure that all the data are entered for payroll processing (attendances and absences), working with managers for approvals and/or missing data.
Regular review accuracy of accruals and balance
Ensure compliance with company policy and procedures and federal/state regulations in regards to all payroll-related function
Collect and submit all the data relevant for the biweekly payroll, benefit deductions, 401k, and leave of absences, new hires, termination
Review payroll results before submitting for final approval
Ensure 401 k deductions are correctly entered in payroll and review/correct any errors
Collaborate with the Finance team to provide the payroll cost information and any other requested data
Manage payroll and time off set up (UKG UltiPro, UKG WFM Pro, ADP WFN) and implementation of new locations new retail locations etc.) and ensure compliance with all state/provinces regulations
LEAVE OF ABSENCE (20%)
Coordinate with third party vendor administrator for leaves of absence, workers comp claims
DATA MANAGEMENT (20%)
Manage and ensure accuracy of records in the payroll (Ultipro, ADP WFN) and HR management (Success Factor) systems
Work with the Sr. C&B manager on different reporting such as monthly HC, annual report, EEO,etc.
Maintain and update Benefits portal
MISCELLANEOUS
Responsible for employee care which includes ordering flowers and similar for life events, research and propose morale boost events
KNOWLEDGE, SKILLS & ABILITIES
Bachelor's degree or equivalent required, with a major in Finance or HR preferred
Minimum 3 years' experience in Payroll & Benefits.
Retail industry experience a plus

Excel Advanced level required (filters, pivot tables, conditional formulas, V-Look Ups) and HRIS (Success Factor, UltiPro, UKG WFM Pro, or ADP a plus) experience required
Solid written, oral, and interpersonal communication skills are essential
Flexibility- willing to help with projects as needed and able to juggle multiple priorities and reprioritize as needed on a perpetual basis.
Schedule: Monday - Wednesday from 9:00am - 5:00pm in office
