GENERAL DESCRIPTION OF DUTIES The purpose of this position is to assist the Tourism Staff and Tourism Director by providing administrative, clerical and office support.

ESSENTIAL DUTIES
Generic Duties
Provides office support: Logs and prepares documents; researches and prepares special projects; sets up and maintains files and records for office correspondence, documents, reports, and other materials. Creates and edits forms and documents used by Tourism Staff; assists with special tasks, programs and staff projects as needed.
Internal and External Customer Contact: Serve as back-up office receptionist, routing calls to division staff and voicemails or written messages. Greets both staff and clients respectfully. Assists clients by telephone and in person. Responding to inquiries and providing information on Tourism programs, services, and activities, routing inquiries as appropriate. May serve as recording secretary at Tourist Development Council meetings.
Maintains Director's calendars: arranging appointments/meetings travel. Arrange conference and meeting travel, including registration, car rental, and accommodations, and preparing Travel Expense forms for signature.
Provides administrative/clerical support: by preparing memos, documents and forms for signature routing and processing. Drafts complex and/or sensitive documents. Independently establishes and maintains filing systems; ensures that appropriate documents are filed in appropriate folders and that information is logged in the computer.
Responds to inquiries, providing specific information requested, scheduling meetings, and obtaining signatures for documents. Has limited contact with Commissioner Aides, Assistant County Administrator and other staff, and the public. Tact is required with these contacts and the employee assumes the responsibility for harmonious relationships.

DIFFICULTY Employees in positions assigned to this class perform work tasks that involve general and specific knowledge of office and program functions and activities. Action requires selection from many known alternatives. Work involves different and unrelated processes or methods requiring close concentration. Work flow requires some planning for deadlines with resulting pressure.
RESPONSIBILITY Supervision Received Employee receives general supervision and assumes responsibility. Employee is presumed to know the routine work details and performance standards of the job and to perform the assigned tasks. Employee plans and arranges own work schedule under specified standard practices and refers questionable items to the immediate supervisor.
Supervision of Others Employee in a position assigned to this class is typically non-supervisory. Employee may supervise volunteers, interns, or temporary clerical support staff.
INTERNAL AND EXTERNAL CUSTOMER CONTACT Work involves contacts by telephone, correspondence, or personal meetings with employees in other departments or outside the County to obtain or supply factual information. Work requires tact in these contacts and the employee assumes the responsibility for harmonious relationships.
EQUIPMENT AND TOOLS USED Tools and equipment used include, but may not be limited to computer, fax machine, telephone system, and copier.
WORK ENVIRONMENT AND PHYSICAL DEMANDS Work primarily in a climate-controlled environment with minimal safety/health hazard potential. Work primarily indoors. Work mainly at a desk usually.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of proper formats, grammar and spelling to compose and edit correspondence.

MINIMUM QUALIFICATIONS Requires a high school diploma and five years of secretarial, clerical, or accounting experience and data entry or computer experience; or an equivalent combination of training and experience.
All Leon County employees (regular full-time and part-time, OPS, and PRN) are required to work before, during and after a Declared Local State of Emergency (DLSOE). Participation is considered a condition of employment.
Selection Guidelines: Formal application, rating of education and experience; oral interview and reference check.
FLSA STATUS: Non-Exempt. This job does not meet any of the three exemptions because work is clerical in nature and involve the application of standard practices and procedures.
