Position Summary:

We are seeking an experienced and highly organized Executive Assistant to provide high-level administrative support to our CEO. The ideal candidate will be proactive, detail-oriented, and capable of managing a wide range of administrative tasks efficiently. This role requires excellent communication skills, the ability to maintain confidentiality, and a strong sense of professionalism.

Responsibilities:

  • Calendar Management: Manage the CEO's calendar effectively, scheduling meetings, appointments, and travel arrangements as needed. Coordinate with internal and external stakeholders to ensure efficient use of the CEO's time.
  • Communication: Serve as the primary point of contact for the CEO, screening and prioritizing emails, phone calls, and other correspondence. Draft and proofread documents, presentations, and reports on behalf of the CEO.
  • Meeting Support: Prepare agendas, take minutes, and distribute materials for meetings attended by the CEO. Follow up on action items and ensure timely completion of tasks.
  • Travel Arrangements: Coordinate domestic and international travel logistics for the CEO, including flights, accommodations, and transportation. Anticipate travel needs and prepare detailed itineraries.
  • Administrative Support: Handle administrative tasks such as expense reporting, file management, and invoice processing. Maintain organized records and databases, ensuring accuracy and accessibility.
  • Project Assistance: Assist the CEO with special projects, research assignments, and presentations. Coordinate with other team members and departments as needed to facilitate project completion.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times. Uphold the highest standards of professionalism and integrity in dealing with confidential matters.
  • Relationship Management: Build and maintain positive relationships with key stakeholders, including board members, clients, partners, and employees. Serve as a liaison between the CEO and internal/external contacts.

Qualifications:

  • Proven experience as an executive assistant or similar role, supporting C-level executives.
  • Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team.
  • Professional demeanor and strong interpersonal skills.
  • Previous experience in project management or event planning is a plus.
  • Ability to work in Princeton, New Jersey during summer months of June, July, August, September each year.

Education and Experience:

  • Bachelor's degree in Business Administration, Communications, or related field. 8 years of experience working in support of CEO or other stakeholders.
