Hoyle Tanner is seeking a part-time, organized and detail oriented Administrative Assistant to join our team 24 hours per week. The ideal candidate will be responsible for providing administrative support to ensure the efficient operation of our Burlington office, and will have excellent communication skills, attention to detail and the ability to work in a fast-paced environment.

Responsibilities:
Answer and direct phone calls
Provide administrative support for office staff (i.e. coordinate the printing and picking up of plans from outside sources, post office, office and kitchen supplies, etc.)
Property coordination including communication with landlord on space needs, heat, elevator, bathrooms, cleaners, maintenance, etc.
Printer repairs/ printer maintenance assistance
Assist with registration for seminars, conferences, Tradeshow Booth setup, etc.
Manage and order supplies as needed for Burlington office
Assist with sending, receiving, and distributing mail
Set up Burlington office conference room for Client and Contractor meetings
Serve as Hoyle Tanner Safety Committee representative
Copying, scanning, faxing, and other administrative tasks
Assist Managers and Engineering staff with projects as needed including subconsultant agreements, format & QC/ QC specifications, DBE notifications, submittals & RFI's administration, certify payroll
Assist with the response and tracking of project proposals and results, and with business development tracking and strategic efforts
Participate in Hoyle Tanner Project Setup and Project Closeout teams with other company wide administrative assistants
Requirements:
Qualified Candidates will have:
0-3 years of administrative experience
Proficiency in Outlook, Word, Excel, PowerPoint, Teams, and Adobe/ Bluebeam
Strong oral/ written communication skills
Attention to detail and problem-solving skills
