Job Summary

Lead Wellness Coordinators function as the lead employee of clerical staff in the clinic practice and are responsible for the smooth flow of clerical activity. They perform supervisory, reception, and clerical duties of considerable difficulty. The job involves extensive utilization of the University's systems and constant interaction with students, health care providers and other members of the wellness staff. Lead Wellness Coordinators need to possess both a strong customer service orientation and a commitment to excellence and accuracy while working in a fast-paced, multi-tasking environment.



Responsibilities



  • Participates in the interviews, selection, and training of clerical employees.


  • Assigns daily work for clerical staff, holds staff accountable for satisfactory completion of work assignments, and coaches performance to meet quality and productivity expectations.


  • Determines the daily schedule, reviews office coverage and scheduling to ensure appropriate coverage, and assigns lunches and breaks. May cover for staff lunches and breaks as necessary.


  • Assesses and monitors daily performance, sets productivity expectations, evaluates annual performance, and initiates progressive disciplinary action as needed.


  • Oversees regular, ongoing, daily quality control of assigned area(s).Provides daily feedback and coaching to clerical staff. Upholds performance and productivity standards.


  • Has extensive personal and telephone contact in greeting, directing, and assisting internal and external customers.


  • Serves as point person for clerical staff on matters requiring escalation.


  • Responsible for requesting supplies and stock forms for the clerical staff.


  • Assists in the development and communication of office policies and procedures. Ensures clerical staff are aware of policy, protocol, and procedure and coaches/counsels as necessary to uphold and meet these established standards.


  • Works collaboratively with the clerical and administrative staff to ensure that all patient care activities are coordinated effectively.


  • Assists in the resolution of patient, staff, and provider complaints.


  • Attend meetings, ensuring staff development for clerical staff.


  • Functions as a subject matter expert related to any and all duties of the other members of the clerical team.


  • Assist with task related to scheduling/rescheduling and prescription request communication.


  • Cross trained in Student Wellness Medical and Mental Health departments in order to provide back up support as needed.


  • Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies.


  • Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Prepares financial and/or administrative reports.


  • Performs other related work as needed.





Minimum Qualifications




Education:

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).



Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:



  • High school diploma or GED.





Experience:



  • Advanced training or experience with college-age or young adult populations.


  • Minimum of 2-3 years of experience interacting with and scheduling patients.


  • Minimum one year as a clinic coordinator.





Technical Skills or Knowledge:



  • Advanced knowledge of scheduling applications and generally accepted scheduling practices. Preferable knowledge of the Point n Click system.





Preferred Competencies



  • Requires the ability to organize a demanding workload and train new coordinators.


  • Ability to enter and retrieve data accurately and quickly, check work, and resolve mistakes.


  • Strong interpersonal skills; ability to handle a wide variety of public contacts, including conflicts, with patience, tact, courtesy, and discretion.


  • Provides timely guidance and feedback to help others strengthen specific knowledge/skill areas needed to develop, accomplish a task, or solve a problem.


  • Ability to determine priorities. High degree of initiative and problem-solving skills. Exercises good judgment and makes independent decisions. Demonstrates flexibility.


  • Ability to function independently and as a team member.


  • Ability to work in a fast-paced environment.
