We are seeking a full-time Dealer Account Administrator in our Olathe, KS location. In this role, you will be responsible for being the primary contact for dealer account setup and maintenance while proactively managing each account application through the new account setup process, educating the potential account on Garmin's basic business requirements, and processing and maintaining account communication and status tracking timely and accurately. Upon completion of the application process, this role will also be responsible for the setup and on-going maintenance of these accounts in Oracle and various other Garmin databases.
Essential Functions
Act as key authority/owner of Dealer Account Administration processes to ensure adequate maintenance, documentation and compliancy of dealer account maintenance responsibilities
Manage various inboxes by responding to questions/requests within 24 hours of receipt; sort and prioritize appropriately differentiating actions, identify and reallocate misdirected claims/requests to other internal departments
Process Potential Dealer Request Forms received via Garmin.com
Distribute questionnaires requested from various sources that include Sales, Marketing, etc.
Responsible for accurately tracking new account set up status
Manage templates and approval workflow within DocuSign
Follow SOP instructions that document the dealer setup parameters
Perform pre-account set up activities and tasks that include:
Review applications and related documents for potential accounts
Proactively contact the potential account on status and/or request missing information
Work closely with all involved parties to expedite applications in order to ensure customer satisfaction
Maintain/provide materials for prospective new accounts
Responsible for accuracy and integrity of the account folders via Legal and SOP directives
Responsible for pre and post account set up updates that may include mass updates to account attributes, EDI directives, cancellations, address changes, name changes, buyout/ownership changes, Denied Party, Dealer Locator, various International Trade
Compliance forms, RSM account assignments and management of tax exemption certificates by state, county, and city
Collaborate with IT, creating dealer accounts in the test environments and providing Oracle and other database knowledge related to the Customer Master
Compile statistics and prepare various reports for management as required
Strategize with sales team and management to increase efficiencies in current responsibilities and creating and documenting new procedures as required
Create/manage all training documentation for processes and procedures managed within the role
Serve as subject matter expert of all aspects of the Dealer Account Administrator role
Act as consultant for international offices with global processes
Maintain open and honest communication with department supervisor/management
Act as primary backup for Pricing Administrator / Pricing Analyst as needed
Maintain knowledge of Garmin products
Participate in Dealer Marketing Programs Support team activities including, but not limited to, cross training on other Dealer Marketing Programs
Represent Garmin at industry/professional meetings and sales meetings and attend meetings/training sessions as required
Assist and support workflow for peer positions as work volume dictates, as well as answer customer phone calls, chats, emails, letters, and faxes
Must possess a willingness to be flexible for short notice or unplanned schedule changes and be willing/flexible to adjust hours to support international time zones if needed
Basic Qualifications
Bachelor's Degree AND a minimum 1 year of work experience in customer service OR a minimum of 5 years total equivalent combination of education and relevant experience
Must demonstrate proficiency using Microsoft Office Excel specifically in the creation and management of spreadsheets with formulas including, but not limited to, V-lookup and Pivot Table skills
Demonstrated proficiency and effective data-entry and ten-key skills
Demonstrated strong and effective verbal, written, and respectful interpersonal communication skills to work across functional and organizational lines with strong negotiating and analytical skills
Must be positive, detail/team oriented, multi-tasker, a driven problem solver with proven success in solving difficult problems with a high level of accuracy, and work proactively/effectively with the ability to prioritize with minimal supervision in a fast paced, deadline-driven environment
