Job Description:

CBIZ is assisting a client in the search for a Firm Administrator. This role is pivotal in overseeing recruitment, employee benefits, compliance, and operational efficiency. Position is hybrid with 2-3 days per week in the office

Key Responsibilities:
  • Oversee full cycle recruitment, hiring, onboarding, and recruitment committee activities.
  • Manage employee benefits, retirement plans, payroll, and compensation processes.
  • Partner with firm leadership to oversee performance reviews, facilitate disciplinary conversations, and implement performance improvement plans.
  • Promote a positive and inclusive firm culture through active engagement with team members.
  • Oversee learning management, training, and the firm mentorship program.
  • Ensure compliance with all legal and regulatory requirements and update internal materials accordingly.
  • Develop, implement, and document internal and external HR best practices, policies, and procedures.
  • Oversee social and employee appreciation committee activities, including planning firm functions, team-building activities, and gifts.
  • Coordinate with Marketing on firm submissions/nominations related to firm culture and employee experience.
  • Champion the firm's behavioral assessment software for employee lifecycle decisions and educate the team on its uses.

Operations:
  • Oversee suite maintenance, security, and vendor relationships.
  • Lead risk management processes related to firm operations, including insurance renewals and risk management policies and procedures.
  • Collaborate with the Operations Manager to maintain an effective Operations and Legal support team.
  • Facilitate the firm's Objectives and Key Results (OKRs) initiative, coordinating with department heads, tracking progress, and setting company goals.
  • Engage in strategic planning and goal-setting with team leadership.
  • Monitor KPIs for respective departments and prepare reports for managing partners.
  • Coordinate scheduling and agenda creation for all partner and Executive Committee meetings and retreats.
  • Work with the Executive Committee to facilitate annual firm committee assignments.
  • Undertake other responsibilities and projects as assigned.

Qualifications:
  • Professional services experience is a MUST.
  • Superior verbal and written communication, interpersonal, organizational, attention to detail, analytical, decision-making, problem-solving, managerial, and diplomacy skills.
  • Ability to work independently and as a team member.
  • Ability to manage changing priorities, multitask, meet deadlines, and oversee concurrent projects in a fast-paced office environment.
  • Ability to develop and supervise a team.
  • Thorough knowledge of Windows, Adobe Acrobat, Microsoft Office (Word, Excel, Teams, Outlook), and document management applications.
  • Experience with HRIS and payroll systems required.
  • Experience with Asana or similar task management systems preferred.
  • Strong understanding of employment laws and regulations.
  • Excellent conflict resolution and negotiation skills.
  • Proven track record in developing programs to enhance employee engagement and retention.
  • Proven ability to develop and implement strategic plans aligned with organizational goals.

Education and Experience:
  • Bachelor's degree required.
  • Professional services or law firm experience strongly preferred.
  • At least 5-7 years of experience in a leadership role with multiple direct reports.

Salary Range: $175,000 - $250,000 annual, depending on experience, plus discretionary bonus
