Job Description:

Japanese conglomerate trade and investment SOGO SHOSHA NY HQ seeks Japanese Bilingual Executive Assistant to provide multi-faceted administrative support and assistance to the Corporate Executive. This position will provide administrative support and assistance to ensure effective use of the executives' time and productive interactions with staff and the public. They will also conduct research and information gathering on behalf of the executive and prepare complex summaries and reports.

NON-EXEMPT position

9-5, M-F, Hybrid

$ 100-130K plus fabulous health benefits package

Key Accountabilities:

50% Provide administrative support to the Executive Vice President, including managing their calendars, scheduling appointments and meetings, and preparing meeting materials.

Coordinate complex travel arrangements, including flights, accommodations, and ground transportation.

Conduct research and information gathering on behalf of the executive and prepare complex summaries and reports.

Develop and maintain positive and strategic relationships with staff and external stakeholders.

Organize and maintain filing systems and databases, and handle confidential information with discretion.

Coordinate special projects and initiatives as assigned.

Support the executive in the preparation of presentations, reports, and other documents.

Assist with other administrative and support tasks as needed.

Assists CPCD assistants in providing proper coverage for the organization's executives, SVPs, and guests. Provides back up support and coverage for other assistants and executives in the organization as requested.

50% Conducts research and information gathering on behalf of the executive.

Translates summaries and reports from Japanese into English and takes summary notes in English during Japanese-language management meetings.

Supports corporate planning and business strategy cycles, including preparing and translating documents.

Job Qualifications

Key Qualifications:

• Uses discretion, judgement, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
• Excellent organizational and time management skills.
• Strong communication skills, both written and verbal.
• Ability to work independently and as part of a team.
• Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
• Ability to handle confidential information with discretion.
• Previous experience with SAP and other administrative systems preferred.

Years of Experience: • Typically requires 5+ years of related experience in a similar role.
• Previous experience in a Japanese company preferred.

Education: • Typically requires a bachelor's degree or equivalent.
