Salary Range: $70,000 - $90,000/year

Schedule: Monday - Friday, 8-hour day shift between 7:30 AM and 4:00 PM

Job Description

We are seeking a detail-oriented Rental Coordinator to manage equipment rental operations, ensuring smooth customer interactions and efficient coordination between departments. This position works closely with the Chief Operating Officer (COO) and the President to facilitate rental processes, maintain inventory records, and provide excellent customer service.

Responsibilities Include:
  • Manage communications (phone, email, text) regarding equipment rentals.
  • Assess and analyze equipment availability and place holds on orders.
  • Collect, review, and process required paperwork and insurance for rental agreements.
  • Input customer account details into QuickBooks and save documents to Dropbox.
  • Generate and send estimates, invoices, and packing slips for rentals.
  • Maintain the Google equipment schedule and Excel availability spreadsheets.
  • Coordinate with warehouse staff and shop mechanics regarding equipment pick-ups and returns.
  • Assist in monitoring inventory, supply stock, and facility needs.
  • Record and address equipment malfunctions or customer complaints, escalating as necessary.
  • Facilitate shipments and deliveries, liaising with vendors, lessors, and customers as needed.
  • Support the sales of the company's product line.

Required Skills:
  • Software Expertise: Proficiency in QuickBooks Desktop, Excel, Dropbox, and Office 365.
  • Typing Speed: Ability to type 60 words per minute or higher with accuracy.
  • Communication Skills: Strong ability to compose clear, professional emails and manage customer phone calls effectively.
  • Organization: Detail-oriented with excellent documentation and scheduling skills.
  • Interpersonal Skills: Capable of confidently addressing customer concerns and coordinating with internal teams.
