We are looking for a highly motivated Program Assistant to join our team. The ideal candidate will have exceptional multitasking abilities and a strong attention to detail, ensuring accurate data entry and efficient management of multiple tasks. This role requires following directions carefully while actively assessing and identifying eligibility for various programs. A positive and collaborative attitude is essential, as you will contribute to fostering a supportive and productive work environment. Responsibilities:

Field phone calls and emails requesting program information and invite individuals to orientation sessions.

Work collaboratively with program staff to schedule appointments for participants interested in applying for programs.

Screen all new program applicants for programs using grant-appropriate assessment tools and techniques.

Organize and maintain filing systems. Collect, review, and enter data into student files and databases.

Liaison and follow-up with local and non-local training sites, consultants and trainers.

Schedule and attend department meetings; take notes, as required.

Order program-related equipment, materials, and supplies for the department and training.

Prepare formal documents, letters, reports and certificates to comply with funding agency directives.

Assist in tracking program performance metrics and outcomes; gather, analyze, and report data related to program activities; support evaluation and assessment efforts.

Assist in implementing program activities; this may involve on-site and off-site support at conferences, workshops, or training sessions.

Help facilitate workshops, meetings, or training sessions, including setting up necessary equipment and materials.

Understand the various needs of funding services, including eligibility criteria and reporting requirements.

Travel Arrangements: Book flights, accommodations, and ground transportation; ensure compliance with organizational travel policies. Keep accurate records of travel expenses.

Assist in developing/coordinating staff/programmatic events.

Other duties as assigned.

Required Qualifications:

High school diploma or equivalency; 2-4-year college degree preferred

Strong oral and written skills

Self-starter with excellent organization skills

Team player who can also work well independently

Demonstrated ability to work successfully with clients and agencies

Strong ability to multitask and prioritize tasks effectively while managing tight deadlines.

Demonstrated ability to complete projects and assignments accurately and within deadlines.

Proficiency in MS Office including Word, Excel, and PowerPoint. Experience with Salesforce data management system or similar client-based platform
