Position Summary:
Operation Support Rep is an internal support center focused on work processes involving Individual Life and Annuity products. The department balances independent work with a collaborative team environment, handling fluctuating volumes, daily time constraints, and continuous improvements in operational efficiency.
Operation Support Reps deliver excellent customer service while performing various support activities for Life Policy Administration, Life New Business, Annuity Policy Administration, and Annuity New Business. Services include the assembly and mailing of new issue life/annuity policies, reissue policy pages, and electronic assembly of facultative reinsurance cases.
Job Responsibilities:
Perform a variety of support activities for Policy Services, New Business, and Annuity Services (55%)
Sort and distribute a wide range of system and manually generated output to clients, advisors, and imaged files
Review and distribute system reports to internal business partners
Process output to be distributed to the client, Life Policy Administration, Claims, Annuities, and Systems Administration
Respond to customer email requests for output
Assemble new issue life insurance policies and in-force reissue policy pages for distribution to advisors or clients (40%)
Assemble client contracts and sort policy forms to ensure the correct recipients
Utilize the VISTA Web system to manage outstanding requirements, policy mailing dates, and underwriting expiration dates
Forward policies by mail within daily deadline timeframes
Update home office files with copies of all documents
Prepare and distribute client files to external reinsurance partners
Monitor incoming emails and referrals for notifications
Assemble client files in electronic format and transmit them to reinsurance companies
Engage in personal self-development to prepare for new responsibilities and challenges in a changing environment
Qualifications:
Understanding of Individual Life products, work processes, and procedures related to Operation Support Services, Life New Business, Underwriting, and Life Policy Administration
Working knowledge of relevant systems, including Client Foundation System, VISTA, AdminServer, Lotus Notes, REM, Adobe Acrobat Professional, Microsoft Word, and Microsoft Excel
Strong communication skills for interacting with department and home office associates
Ability to follow detailed workflows accurately and efficiently
Excellent attention to detail to ensure proper assembly of life insurance policies, timely handling of return mail, and accurate processing of output
Capability to work independently when needed and seek assistance as required
Organization and planning skills to prioritize workload and adapt to changing priorities
