This role is essential in ensuring a welcoming and efficient office environment by handling all incoming traffic, including phone calls, emails, and in-person visitors.
Key Responsibilities:
Answer phone calls, manage voicemails, and direct inquiries to the appropriate departments.
Monitor and manage the general company email account, forwarding emails to relevant departments.
Greet and assist incoming visitors, residents, and staff with professionalism and courtesy.
Handle customer service inquiries from residents, maintaining a customer care log.
Oversee office security and access, ensuring proper protocols are followed.
Assist with record retention processes and the management of physical records.
Manage incoming and outgoing mail, packages, couriers, and internal office mail.
Maintain a clean and organized office environment, including common areas, conference rooms, and kitchens.
Track and manage office supplies, including inventory for printers, copiers, kitchen supplies, and conference rooms.
Order catering and manage food services for meetings and events.
Organize and coordinate employee celebrations, such as birthdays and anniversaries, including ordering cakes and preparing cards.
Update team member directories and ensure ID badges are distributed as needed.
Prepare and distribute reports on a weekly, monthly, and quarterly basis; assist with preparing materials for corporate meetings.
Provide support in organizing company events and activities.
Qualifications:
At least 1 year of administrative or receptionist experience in an office setting.
Strong internal and external customer service orientation.
Excellent interpersonal and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Strong attention to detail with excellent organizational skills.
Good writing skills, with attention to grammar and punctuation.
High School Diploma or equivalent.
Reliable transportation and valid driver's license.
