A high-profile Law Firm in Silicon Valley is looking for a bright, motivated Receptionist/Office Coordinator. You will provide a high level of customer service, coordinate meetings/conferences, and assist with the planning of events, along with general reception duties. This individual will work closely with the Operations Team, and will interact with other departments as needed.
About the Role:
Facilitates preparation of presentation materials with relevant groups
Serves as primary point of contact for vendors and other service-providers as required
Coordinates logistics for conferences
Troubleshoots issues to ensure successful execution of events
Assist with daily firm lunch orders
Help organize company events such as the annual meeting, holiday party, birthday and/or going-away parties
Implements logistics for hosted events, including venue, decor, catering, and audio/visual support
Answer /screen phone calls
Greet guests
Manage executives' day-to-day scheduling in Outlook and propriety software applications
Make extensive travel & meeting arrangements when needed
Coordinate with administrative staff regarding meetings and travel arrangements
About You:
At least 1 year of retail, hospitality, or reception experience in a fast paced environment
Proven track record of excellent customer service
Highly focused and detail-oriented
Willingness to adapt to the many changing requirements
Collaborative work ethic and ability to work in a team-oriented culture
Motivated, self-directed, and proactive with a willingness to take on additional projects
Excellent oral and written communications and presentation skills
Proficient in Outlook and an interest in technology
