We are looking for an Executive Assistant to join the team in January. This person will be supporting new personnel that are joining the School of Government and Public Policy at the Bloomberg Center.
Position: Executive Assistant
Shift: 5 days per week onsite, 8:30-5PM with 1 hour lunch
Location: 555 Pennsylvania Avenue NW, Washington DC 20001
Target salary: $60,000

Responsibilities:
Scheduling and Meeting Support: will need to be proactive, and work with other admins in the organization - not just relying on "Scheduling Assistant" with Outlook
Maintains and coordinates Dean's calendar, reviews weekly calendar in advance with Dean and Chief of Staff to ensure that all necessary materials are prepared, collected, organized as directed, and reviewed well in advance for meetings.
Coordinates high-level meetings with constituencies; prepares, distributes, and organizes meeting materials and agendas, including critical recurring meetings.
Organizes supporting materials for meetings in OneDrive or other e-tools.
Reception:
Serves as the primary individual for greeting people, answering phone calls, and representing the Dean to faculty, students, staff, trustees, donors and member of the public in a highly professional, positive, and gracious manner.
Correspondence:
Triages and manages Dean's Office email and other incoming and outgoing correspondence prioritizing items that require immediate attention of the Dean and/or Chief of Staff.
Drafts, proofreads, and edits a variety of written materials such as letters, presentations, and other correspondence. Attention to detail and accuracy is essential.
Administrative Support:
Responsible for a broad range of administrative support to the Dean's Office, including but not limited to processing invoices (JHU SAP), ordering supplies, greeting visitors, and scheduling guest parking.
Travel:
Coordinates and plans travel itineraries for the Dean and Chief of Staff in a manner that promotes the best use of time and efficiency and minimizes potential travel issues adhering to University policies.
Requirements:
5 years of experience in administrative support - ideally with an executive or senior leader
Experience with meeting and calendar management
Strong Outlook skills as well as other Microsoft Office technologies (Word, PowerPoint, Teams, Excel)
Bachelor's degree - strong preference, but can take additional experience (7+ years total) in lieu of degree
EXCELLENT communication skills - SHARP, PROFESSIONAL
