The Talent Acquisition & Onboarding Specialist is essential to providing a world class experience for all those involved in our recruiting and onboarding process. They will work hand-in-hand with the recruiters, recruiting coordinator, hiring teams and HR Operations to provide a reputable high-touch candidate & new employee experience. They also interact directly with vendors to optimize systems, like the ATS and CRM for talent attraction and overall recruiting process.

In addition to the recruiting and hiring process, they will also execute the onboarding process for new hires and serve as the point of contact for all onboarding inquiries and provide consultancy to new recruiters. They will also conduct New Hire Orientation on a weekly basis. They will be assigned business critical projects that will require them to work closely with cross-functional teams to eliminate barriers in the onboarding process. Finally, they will provide onboarding & recruiting metrics to identify data trends and make recommendations to increase retention. This position is based in our Falls Church, Virginia Headquarters and requires the employee to be on site 3 days per week.



Responsibilities

  • Serves as Recruiting Coordinator for all Kastle Interviews:
    • Ensure all candidates have a world class interview experience from start to finish
    • Schedule a high volume of phone, onsite and video interviews with hiring teams, executives, and candidates
    • Ownership mentality; own relationships with external vendors and tools we use
    • Manage candidate flow through our Applicant Tracking System (ATS)
    • Dynamic problem solver who can take ownership of scheduling for all interviews in order to provide an exceptional candidate experience
    • Collect and compile interview feedback from hiring teams, providing insights to aid in decision-making.
    • Recommend process improvements based on stakeholder and candidate feedback.

  • Systems Administration:
    • Recruiting systems & job board optimization: ATS (iCIMS), LinkedIn Recruiter, UltiPro, Indeed, Predictive Index, etc.

  • New Hire Orientation:
    • Conduct engaging and informative first-day new hire orientation (occurs every Monday).
      Ensure all new hire paperwork is completed accurately within the first week of employment.
      Act as a primary point of contact for new hires during their onboarding process.

  • Vendor Management:
    • Own relationships with external vendors and tools we use.

      Oversee relationships with external staffing agencies to ensure compliance, timely delivery of temporary staffing needs, and adherence to company standards. Work with external partners to optimize Applicant Tracking System.

  • Pre-Employment Checks:

    • Manage pre-employment processes, including background checks, drug screenings, and verification of qualifications. Partner with third-party vendors to ensure timely completion of all checks (TrueScreen, E-Verify).

  • Candidate Experience:

    • Serve as an advocate for the candidate, ensuring a positive and engaging experience throughout the recruitment and onboarding processes.

    • Address candidate inquiries and concerns promptly and professionally.

    • Monitors, manages and responds to Kastle Recruiting Inbox (recruiting@kastle.com) for all candidate inquiries and scheduling confirmations as well as external email (careers@kastle.com) for any external candidate questions.

  • Other Responsibilities (Projects, Metrics, Reporting):
    • Create Interview Guides for Kastle positions using Targeted Selection format.
    • Manages Employee Referral Program.
    • Track and analyst data to deliver to stakeholders and reduce interview rescheduling.
    • Responds to leads generated through career fairs, social media, hiring events and other venues.
    • Utilize social media to strengthen awareness around Kastle’s dedication toward diversity and inclusion, create advertisements and execute campaigns.
    • Maintains sourcing and lead generation metrics and produces reporting on weekly activities.
    • Assesses the effectiveness of sourcing strategies and adjusts, as needed, to maximize resources and increase candidate pipeline.
    • Stays abreast of current and emerging technologies in order to properly identify new venues for attracting qualified candidates and research and develop /implement strategies and onboarding practices for new employees.
    • Advanced understanding of analytics to identify areas to improve operations for the onboarding team and the organization.
    • Solid understanding regarding new hire success management experience and understanding of candidate onboarding and retention process.
    • Draft, review, and distribute offer letters in compliance with company policies. Ensure accurate and timely communication of offer details to candidates.

    • Creating, implementing and maintaining a comprehensive outreach plan that will develop and secure a pipeline of talent for years to come.

    • Pitch, lead, and drive TA team projects, often working interdepartmentally.
    • Serve as a consultant for onboarding vendors per the service level agreement.


Qualifications



  • Bachelor’s Degree in Human Resources, Business or related fields is required.
  • 3+ Years of experience in HR or Talent Acquisition or relevant field.
  • Must be professional and exhibit excellent oral and written communication skills with all levels of employees.
  • Decision making and development/planning skills preferred.
  • Strong process and project management experience desired.
  • Collaborative and strong ability to connect and influence multiple leadership levels
  • Ability to work independently and proactively. Critical thinker and problem solver. Strong strategic planning/project management.
  • Adaptive and entrepreneurial approach: demonstrates flexibility, energy, and initiative in fast-paced, unpredictable, and matrix business environment.
