Organization Overview

PUC National is a non-profit organization that serves to promote, support, benefit, replicate, and carry out the purposes and mission of Partnerships to Uplift Communities (PUC) Schools. 

We have a contractual relationship with Partnerships to Uplift Communities (PUC) Schools to provide a variety of support services to the schools in NE Los Angeles and the NE San Fernando Valley. This includes but is not limited to Finance, Human Resources, Operations, IT and Data Management, facilities identification and acquisition, fundraising, grant management, college access, alumni relations, charter development and renewal, and compliance.

The Team Member we are searching for

The ideal Contract Specialist/Administrative Assistant believes in and is passionate about the mission and commitments of PUC National and exhibits this through their leadership, reflection, and collaboration to ensure schools’ success across the organization. This role will provide administrative support to the contracts team and other administrative work. The role is onsite located at the Burbank Office.

What you will need to accomplish:

Contract Specialist Responsibilities


  • Gather and prepare a complete contract package

  • Check submitted documents for completeness and compliance with applicable regulations and company policy

  • Work with the contracts team, school staff, and vendors to create and finalize contracts

  • Catalogue and track expiration dates and facilitate timely renewal

  • Communicate approved contracts and vendors to school leaders and other management

Administrative Responsibilities


  • Assist with preparation for monthly board meetings

  • Attend board meetings and transcribe minutes from recordings

  • Provide front office coverage – to include support with mail, phones and office maintenance

  • Assist with the preparation and submission of executives’ credit card logs to finance department

  • Assist with organizing organization’s events

  • Provide general administrative support

  • Perform other duties as assigned

What do we require from you?

Minimum Qualifications

Education:


  • Bachelor’s degree from an accredited college or university in related field, or equivalent training and experience required

Experience:


  • 3+ years of administrative experience required

  • Experience working with contracts a plus 

Skills and Abilities


  • Proficient with Microsoft Suite: Word, Excel, PowerPoint, and Outlook

  • Excellent communication skills (verbal and written)

  • Excellent customer service skills

  • Ability to attend evening board meetings

  • Hold a valid California driver’s license for occasional tasks

  • Ability to organize a daily workload by priorities

  • Ability to meet deadlines in a fast-paced environment

  • Must be flexible and team-oriented

  • Bilingual in Spanish desired

  • Strong work ethic, accountability, and ownership of work

  • Regular attendance, dependability, and punctuality in conformance with the standards are essential to the successful performance of this position

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Occasionally required to kneel, climb and reach with hands and arms above shoulder level, lift up to 30 pounds. To bend, sit, stand, squat, stoop, walk, push, pull, and reach with hands and arms at shoulder level or below. Always required to wear the appropriate safety equipment for the task, which may include gloves, goggles, aprons, belts, etc.

Compensation & Benefits:


  • This is a full-time exempt, salaried position $68,640-72,500
