Job Description:

University of Iowa Healthcare, Department of Pharmaceutical Care, is seeking a full-time HR Coordinator to join our team.

Under the supervision of the HR Manager, this position will provide human resource and administrative support for the Department of Pharmaceutical Care requiring discretion, independent judgment, autonomy, and a high degree of customer service. Key areas of responsibility include HR transactions and maintenance of employee information, compliance, reward and recognition, payroll, communication, and employment services.

Position Responsibilities


Talent Management & Engagement:

  • Assist with recruitment activities for P&S (non-bargaining), SEIU and merit positions.
  • Assist with development of job descriptions; recommend job classification and staffing strategy (specified term, temporary, regular); assist with completion of hiring board request form.
  • Prepare and submit job requisitions in talent management system; prepare external advertising as necessary.
  • Rate applicants and recommend candidates for interviews; may complete phone screens, as needed; complete pre-interview report; participate in interviews and submit reference requests.
  • Coordinate candidate onboarding process; request proper accesses.
  • Prepare and submit required appointment documentation; assure UIHC compliance with background reviews, credential requirements, and certifications.
  • Provide length of service awards to supervisors for dissemination to staff; provide resources and information for effective delivery of awards.
  • Conducts new hire orientation and ensure successful onboarding of candidate to department.

HR Program Administration and Operations:

  • Review and audit payroll timecards; ensure compliance with FLSA, University policies, and collective bargaining agreements; identify leave that may qualify as FMLA and submit requests to the UIHC Leave and Disability office; review and address critical exceptions in ELMS; answer questions from supervisors and staff; run comprehensive payroll reports and address follow-up items, as necessary.
  • Initiate HR transactions to effectuate change of status, leaves of absence, special compensation, termination, appointment, and update databases and other systems as appropriate.
  • Provide information and direction to separating employees to ensure end of employment items are completed and complete separation checklist.
  • Participate in HR special projects.

Communication:

  • Provides information to department staff regarding human resources policies, department policies, University policies and procedures, collective bargaining agreements, work rules, and prepares reports as requested/needed.
  • Educate staff on policies and procedures.
  • Work closely with supervisor to identify and develop effective HR solutions, including training and development plans, onboarding plans, and staff engagement and inclusion meetings.
  • Communicate with staff and provide basic 'how to' instructions, guidance regarding policies and practices such as payroll applications, compliance issues, and employment inquiries.
  • Schedule face to face meetings, initiate phone call discussions and support communication with email updates.

Strategic Planning:

  • Assist in communicating and distributing information, policies and operational changes to department staff; provide recommendations regarding changes to processes, practices and strategies.
  • Identify opportunity to improve systems and processes, achieve efficiencies and/or improve service delivery.

Compliance:

  • Maintain records of licensure and registration status of the professional staff of the Department of Pharmaceutical Care and enter into HRIS. Contact Board of Pharmacy as necessary with problems/questions.
  • Oversees the maintenance of agency/department human resources files and ensure that information is retained according to state/federal laws, rules and regulations.
  • Run HR reports ; such as I-9 compliance report, bi-weekly reports, and CQ report; follow up to ensure compliance.
  • Track complimentary appointments, and ancillary appointments in ERMA.
  • Monitor and track training compliance and inform supervisors of status.
  • Maintain, input and ensure integrity of data and records related to the compliance and recruitment function within the HRIS system. Audit information as necessary for HRIS system and other systems to ensure accuracy of information. Gather and track employee information in support of HR practices/policies within department.
Administration Support:

  • Provide administrative support to directors, managers and supervisors as requested by scheduling interviews as requested.
  • Second line of customer contact for all customers seeking services from the Department to include in-person visits and phone calls, greeting and assisting the public, patients, students, faculty and/or staff as needed and provides information in a courteous manner.


Education Requirements

  • A Bachelor's degree or an equivalent combination of education and experience is required.

Experience Requirements

  • One to three years of experience in human resources.
  • Demonstrated excellent verbal and written communication and interpersonal skills while maintaining confidentiality standards.
  • Demonstrated proficiency with Microsoft Office and computer software applications.
  • Understanding of the necessity and value of accuracy and attention to detail; ability to process information with high levels of accuracy, as demonstrated at a working proficiency level.
  • Demonstrated commitment for customer service excellence with respect to treating and caring for customers.
  • Demonstrated ability to work independently to complete multiple projects and meet deadlines simultaneously.

Desired Qualifications:

  • Prior experience in a variety of Human Resources functions, including but not limited to talent acquisition, employee relations, performance management, compensation and benefits, training and development, HR compliance, and policy implementation.
  • Prior experience work in a hospital and/or academic medical setting.
  • Knowledge of state and federal regulations affecting human resources.
  • Knowledge of University policies and procedures.
  • Knowledge of University HR systems.
