Barge Design Solutions is looking for an Accounts Payable Coordinator who will support the financial operations of our engineering and architecture consulting firm. This role is responsible for processing invoices, managing vendor communications, and supporting the accounts payable workflow with accuracy and efficiency. This role is critical in maintaining our financial integrity and ensuring smooth operational processes.
Responsibilities:
Process and code incoming vendor invoices accurately
Match invoices to purchase orders and receiving documents
Verify invoice accuracy and resolve discrepancies
Prepare invoices for payment processing
Maintain organized digital and physical invoice records
Ensure timely payment of vendor invoices
Maintain and update vendor master files
Communicate with vendors regarding invoice details
Respond to vendor inquiries about payment status
Collect and organize vendor documentation
Support vendor onboarding processes
Assist in resolving vendor payment issues
Enter financial data into accounting software with high accuracy
Maintain comprehensive and organized financial records
Prepare reports and spreadsheets as required
Support month-end and quarter-end closing processes
Track and document all financial transactions
Assist with reconciliation of accounts
Ensure compliance with company accounting policies
Maintain accurate and up-to-date documentation
Support internal and external audit processes
Implement and follow established accounting procedures
Maintain confidentiality of financial information
Provide administrative support to the accounts payable team
Assist with special projects and financial analysis
Manage incoming mail and vendor communications
Organize and file financial documents
Support team members in daily operations
All other duties as assigned
Education & Experience Qualifications:
Associate or bachelor's degree in accounting, Finance, or related field
3 - 6 years of accounts payable or financial administrative experience
Proficiency in accounting software
Strong attention to detail
Basic understanding of accounting principles
Excellent computer skills
Professional demeanor
