Job Description Summary:
Lead the development and implementation of knowledge management strategies and systems to capture, store, and disseminate information across the organization. Manage a team of Knowledge Management Specialists and ensure the firm's knowledge assets are effectively utilized to enhance project delivery, innovation, and organizational learning in the areas of project data management, staff history and profile management, cross-departmental data coordination, and firm profile management.

POSITION RESPONSIBILITIES AND DUTIES

Strategic Planning + Implementation


  • Develop and implement a comprehensive knowledge management strategy aligned with the organization's goals.

  • Oversee the processes for capturing, organizing, and storing project data, employee information, and other critical knowledge assets.

  • Identify knowledge gaps and areas for improvement and develop action plans to address them.

  • Ensure the implementation and maintenance of effective knowledge management systems and databases.

  • Facilitate cross-departmental information sharing and collaboration; organize regular cross-departmental meetings or workshops to promote knowledge exchange.

  • Facilitate the dissemination of knowledge across the organization to ensure that relevant information is accessible to those who need it; develop and implement processes for easy retrieval and dissemination of knowledge.

  • Create and deliver training programs to promote knowledge management practices across the organization.

Team Leadership + Development


  • Lead and manage a team of Knowledge Management Specialists, providing guidance, support, and professional development opportunities.

  • Assign tasks, set performance goals, and conduct regular performance reviews.

  • Allocate resources effectively to ensure that knowledge management projects and initiatives are completed on time and within budget.

  • Ensure that employees are proficient in using knowledge management systems and tools.

Reporting, Metrics + Compliance


  • Oversee the maintenance and updating of the company's central knowledge repository, ensuring it contains the most current and relevant information.

  • Monitor and report on the effectiveness of knowledge management initiatives.

  • Develop metrics to assess the impact of knowledge management on project performance and organizational learning.

  • Ensure the accuracy, quality, and security of knowledge assets.

  • Ensure compliance with data protection regulations and company policies.

Technology + Tools


  • Manage all platforms and tools utilized by the Knowledge Management Team and the entire national Marketing team, i.e., digital asset management, Unanet CRM database (in collaboration with Director, CRM Operations).

  • Provide support and troubleshooting for knowledge management systems.

  • Evaluate, select, and implement additional knowledge management tools and technologies, as required, to support strategic business needs.

  • Stay updated with the latest trends and advancements in knowledge management and related technologies.

Other responsibilities as assigned.

MINIMUM SKILLS AND EXPERIENCE


  • Bachelor's degree in a relevant field such as marketing, communications, Business Administration, English, business/professional writing, journalism, library sciences, etc.

  • 5 to 10 years of relevant experience.

  • Master's degree in Knowledge Management, Information Science, Business Administration (MBA), or a related field a plus.

  • Experience in a supervisory role leading a team of marketing professionals.

  • Strong team building and leadership skills, both in leading a team and collaborating with various departments within the organization; ability to motivate and inspire team members, delegate tasks, and provide guidance, are essential.

  • Prior and proven experience in a knowledge management role, including developing and implementing knowledge management systems and strategies, is required.

  • Previous experience in the AEC industry, specifically in proposal management, is highly beneficial.

  • Proven experience in leading and managing teams, including mentoring, task assignment, performance evaluation, and professional development of team members; ability to guide and motivate a team of Knowledge Management Specialists.

  • Effective delegation and resource management skills.

  • Experience with content management systems, document management, and database management is required.

  • Strong skills in data capture, organization, and maintenance.

  • Familiarity with database management and information architecture principles.

  • Understanding of IT infrastructure and digital tools relevant to knowledge management.

  • Display strong project management capabilities.

  • Ability to manage multiple projects simultaneously, prioritize tasks, meet deadlines, and work effectively under pressure in a fast-paced environment.

  • Meticulous attention to detail to ensure accuracy and consistency of data/assets.

  • Excellent writing and editing skills to create compelling content for proposals, adhering to brand voice and style guidelines.

  • Strong interpersonal skills to work with various departments and facilitate knowledge sharing.

  • Ability to lead and work within cross-functional teams.

  • Ability to work collaboratively as part of a marketing team, as well as independently with minimal supervision, demonstrating flexibility, adaptability, and a positive attitude.

  • Strong analytical skills to identify knowledge gaps and develop strategies to fill them.

  • Problem-solving skills to address challenges in knowledge dissemination and usage.

  • Commitment to staying updated with the latest trends and technologies in knowledge management and the AEC industry.

  • Develop and maintain a strong level of business literacy about Swinerton's organizational structure, affiliates, strategic initiatives, and culture.

  • Strategic mindset to enhance knowledge sharing and innovation within the company.
