We are currently seeking talented individuals for our Machine Sales Coordinator position!
Here is some of what you’ll do…
Position Summary:
Under the limited supervision of the Corporate Machinery Inventory & Sales Operations Manager, this position provides administrative support in the areas of machine invoicing, ordering, inventory, transfers, and record keeping. Responsible for timely recording and maintenance of inventory and sales related information.
Responsibilities
Essential Functions:
Maintain customer satisfaction by establishing rapport with customers and others in a position to help meet customer needs.
Prepare machine orders by answering phones; receiving requirement documents; editing, verifying, and coordinating information with production scheduling, production shipping, and customer service departments; inputting data.
Prepare equipment for delivery and pick up of equipment by answering phones; receiving documents; editing, verifying, and coordinating information with the service shop and contract haulers; inputting data; maintaining a hauling log; checking for damage and coordinating with service shop for equipment follow up.
Process customer invoices by matching bills of lading; adding additional charges; completing billings daily.
Process invoicing edits by sorting and running balancing accounts; editing and reviewing for accuracy; forwarding totals to service department daily; distributing invoices.
Resolve product and service problems by researching the situation; identifying alternate means of filling customer needs; recommending solutions.
Process sales requests by answering phones; receiving requirement documents; inputting information in database; printing, copying, and forwarding to the sales representative to fill sales orders.
Resolve inventory allocations problems by monitoring finished goods; anticipating needs; placing and expediting inventory replenishment; verifying receipt of inventory; reconciling transaction reports; maintaining yard inventory with proper tag system; notifying the Operations Manager of discrepancies of yards inventory on a weekly basis. Assists with quarterly inventory counting.
Provide quality and service resources by maintaining warranty, specification sheets and product information library; distributing information materials.
Prepare reports by collecting and summarizing information; entering new tracking information; updating current files.
Pay bills by verifying amounts; selecting account numbers; processing payment; making copies for files.
Assist in needed arrangements for customer meetings and seminars, including sending invitations.
Support operations by completing administrative and clerical assignments.
Maintain quality service by following organization standards.
Maintain technical knowledge by attending educational workshops; reviewing publications.
Contribute to team effort by accomplishing related results as needed.
Perform other duties as assigned necessary to meet the company, department or individual goals and objectives.
Qualifications
Education, Experience, and Skills Required:
Must have a high school diploma or equivalent; or one to three years’ related experience and/or training; or equivalent combination of education and experience.
Bachelor’s degree in Business or related field preferred.
Have a minimum of 2 years working in a sales office environment preferred.
Must have good communication skills and proper business etiquette.
Ability to multitask and establish priorities.
Maintains a high degree of accuracy.
Must have a good working knowledge of MS Office programs.
Must have a valid Class “C” California Driver’s License with a good driving record.
Physical Demands:
Walking and moving about on foot often up and down stairs.
Handling: Works with hands.
Lifting: May lift up to 25 lbs.
Reaching: Extends hands and arms in any direction.
Stooping: Bends body downward and forward by bending at knees or waist
Standing: Remains in standing position If required to perform various functions of the job.
Vision: Reads paperwork and computer screens.
Talking: Communicates via telecommunications and in person.
Sitting: Sits at desk. Sits for long periods of time.
Environmental:
Noise: Works in conditions with constant or intermittent noise.
