A client with Kforce in Jacksonville, FL is seeking an Executive Assistant to join their team in a hybrid working model. This role is onsite 3 days a week (Tuesday, Wednesday, and Thursday). This position will be supporting: 2 - 4 senior vice presidents.
Duties:
Executive Assistant will perform secretarial and administrative duties
Manage schedule, arranging appointments, travel, meetings, conference calls, etc.
Work requires some analysis and use of initiative and independent judgment
Remain knowledgeable of business unit's policies
As an Executive Assistant, you may make contacts of a sensitive, complex, and confidential nature
May work for one or several department professionals, division heads, units, officers, or managers
Coordinate managers' schedules, making appointments and establishing agendas
Arrange and coordinate business travel for managers, directors, or other division heads
Screen managers' phone calls and incoming mail
Perform word processing duties
Coordinate department meetings; Arrange use of conference rooms
Serve as a contact to employees, investors, or other stakeholders inside and outside the organization
Documents and follows organization and department procedures to complete tasks in a timely manner
Uses features and functions of computer software packages to produce electronic mail, reports, spreadsheets, charts, graphics, spreadsheets, or databases, etc.
Processes forms for on-boarding/off-boarding of resources, executing personnel/benefit actions and communicating information relating to policies, procedures and benefit programs
Monitors office supply inventory and reorders as necessary
Work under general supervision with latitude for independent judgment
May consult with senior peers on certain projects
REQUIREMENTS:
A High School diploma or GED is required for this role
Moderate skills with high level of proficiency
Minimum 5 years of supporting senior-level executives
Typically requires a minimum 2 years or more experience in a secretarial or administrative assistant position
Strong proficiency in MS Office - including Outlook, Teams, Word, PowerPoint, and Excel
Proven effectiveness in collaborating across teams and among executives building strong networks across the organization
Experience with calendar management of senior/executive leaders is required
Strong organizational, communication and interpersonal skills
Position requires the ability to maintain the highest levels of discretion and confidentiality
Excellent knowledge of administrative practices and procedures; Ability to manage sensitive, complex, confidential information
Excellent communication and interpersonal skills; Professional
Thorough knowledge of the use of office equipment required by the position (e.g., PC, typewriter, word processor, copier, fax)
Skill to maintain confidentiality of verbal and written information
Ability to format and produce reports, charts, graphs, and other correspondence using various PC software packages
The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future.

Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave.
