JOB DETAILS:

This position reports to the Campus Planner in the Facilities Planning and Engineering unit of the Facilities Management department. This position will perform or assist with various aspects of campus planning activities, the primary focus being: space inventory data reporting, data analysis, interior planning/design, space condition assessment, initiating space renewal recommendations, furniture management within general assignment classrooms and other academic common areas, campus signage management, campus capital plan preparation, maintenance forecasting, CADD and REVIT imaging and tracking, working within TMA (a maintenance management software), taking photographs, as required, and project management of the relocation of department equipment and furnishings. Secondary responsibilities include assisting with project management duties, cost estimates, code compliance, real estate, and furniture/finishes/equipment coordination and development of campus standards.

Work will be performed primarily on the UW-Stout campus. Specifics regarding work location requirements will be discussed during the interview process.

QUALIFICATIONS

Minimum / Required

  • Bachelor's degree in Architecture, Interior Design, or related field from an accredited college or university by the start date.
  • Working knowledge of AutoCAD, REVIT or similar design software.
  • Familiarity with desktop hardware, standard business software programs (e.g., word processing, spreadsheets, databases), and internet usage.
  • Understanding of floor plans and construction documents.
  • Minimum of one year of experience in facilities planning, GIS planning or a related field, with a solid grasp of architectural graphic conventions.
  • Strong analytical and problem-solving abilities, capable of interpreting data and generating reports to support decision-making.
  • Excellent communication and interpersonal skills for effective collaboration with diverse stakeholders.
  • Ability to build and maintain effective working relationships with employees at all levels throughout the organization.

Highly Desired/Preferred

  • Experience with space data management software such as GIS, ESRI Indoors, TMA(CMMS), or similar.
  • Previous experience in space management, facilities planning, or related roles, ideally within a higher education environment.
  • Familiarity with the higher education environment.
  • Ability to convert data sets into reportable and shareable information, with an understanding of building design.
  • Experience tracking and managing building data.
  • Understanding of relevant building codes, ADA regulations, and best practices in space utilization.
  • Experience with office furniture and office systems.
  • Ability to manage multiple projects simultaneously.

RESPONSIBILITIES

Assessment of Space

  • Audit all spaces on campus with the priority being:
    • Academic Spaces
    • Support/Service Areas
    • Athletic/Recreation Spaces
    • Student Life Services Spaces
  • Physically review every room on campus to define function, type, condition, and utilization
  • Identify size, finishes, furnishings and special utilities within each space
  • Photograph each space
  • Work with campus planner to prioritize updating recently renovated spaces
  • Manages the placement, replacement and selection of furniture within general access classrooms and other academic common areas
  • Manages the selection and layout of campus interior and exterior signage
  • Manages and facilitates the relocation of university departments
  • Manages campus finishes to support campus standards and campus branding
  • Assist in developing and maintaining campus standards for institutional items such as exterior and interior furnishings, fixtures, and finishes
  • Prepares and sequences proposals for upkeep of interior finishes to maintain the campus image.

Tracking of Space

  • Update and log information within TMA and/or UWSA CDR format and/or other space inventory tracking documents by the current university divisions:
    • Chancellor's Division
    • Academic Affairs Division
    • Business, Finance, and Administrative Services Division
    • College of Arts & Human Sciences
    • College of Science, Technology, Engineering, Mathematics and Management

Implementation of Information

  • Develop reports for each division, college, department of assigned square footage
  • Develop reports identifying offices, classrooms, and laboratories
  • Track vacant offices, underutilized spaces, etc.
  • Track dates of improvements or renovations
  • Track type of surfaces and age of materials
  • Track furnishings by type, condition and replacement schedule
  • Create images for division, departments, visioning options
  • Assisting in the preparation of UWSA planning forms for the campus six-year capital plan

Other Duties as Assigned

  • Provide student academic advisement and conduct assessment of student learning. This includes contributing to academic program assessment, accreditation, and continuous improvement processes, in collaboration with faculty and staff.

DEPARTMENT INFORMATION

The Facilities Planning and Engineering Department is responsible for the campus long and short-term planning, engineering information including campus maps and floor plans, facilities documentation, project management, design and construction observation, appraisals and acquisition of property. Our department assists the Maintenance Department in obtaining information relative to the proper maintenance, repair and replacement of campus building systems.

We are responsible for requesting projects through the Small Project Program, with the Division of Facilities Development (DFD). During project design and construction, we are the liaison between the campus faculty, staff and students, and the participants in the project from the Department of Administration, DFD, Project Design Professionals, and Project Contractors. We also design, prepare documents, bid, and supervise construction of projects less than $50,000 internally.

Engineering Services

 

  • Building Floor Plans, Campus Site Maps, Building Room reports
  • Special drawings of individual spaces, blocks of rooms and partial site plans can be created from our CAD files.
  • We have the construction drawings of most of the construction ever performed on campus. Arrangements can be made to make these available for reproduction.
  • Project estimates for all construction work proposed and provided by off-campus sources.
  • Project design for work that has approved funding.
