Primary Role
Responsible for facility management, space planning, and operations, and maintenance for the Camden Headquarters building and the Evansville, IN office building totaling over 250,000 sf. Manages facility employees and contractors in the operation, fit-out, and maintenance of buildings and grounds. Oversees the company headquarters mailroom and print production center.
Key Accountabilities
Directly manages AW corporate properties to ensure that facilities are well maintained and in accordance with applicable building fire, electric, and mechanical system standards and codes.
Monitors and works to maximize the use and effectiveness of office space.
Provides 24/7 coverage for alarms and other facility issues.
Provides support to other company offices in designing and implementing space configuration, office layouts, contractor selection, furniture purchases, and budget preparations.
Develop and manage facility budgets (operating and capital), including cost controls associated with maintaining equipment and furnishings, cost savings, utilization of national accounts, reuse of current furniture inventory, and monitoring of expenses.
Maintains a five-year plan for the repair and replacement of all building systems, assets, furnishings, and equipment and incorporates that into short-term and long-term budget forecasts and needs.
Prepares work orders, maintains as-builts, asset retirements, utilizing power plant for facility-related capital expenditures.
Ensures proactive preventative maintenance of building systems, assets, and equipment and maintains records and a schedule to track and document these activities.
Manage large capital projects, such as build-outs of new office space and renovations, furniture installation, and large project relocations.
Oversees the headquarters café, fitness center, and other amenities to ensure they are operated in a safe, clean, and efficient and in accordance with local, state, and federal laws.
Provide day-to-day supervision of facilities management staff, which includes print production, mail room, Building Maintenance Tech, and Facilities Coordinator.
Collaborates with corporate security and risk to ensure facility disaster/business continuity plans are in place, up to date, easily accessible, and shared with employees.
Develop and implement a strategy for service company standardization, use, and configuration of furniture, offices, meeting rooms, and common areas. • Oversee mailroom and print production operations.
Ensures that facility management staff consistently provides positive and prompt responses to requests from the client and building tenants/occupants and track key metrics related to work order tracking and performance.
Partners with others to develop office safety/security plans that promote a safe, secure, and pleasant work environment.
Pursue continuous improvement initiatives to include cost savings, value engineering, waste reduction, recycling, and energy efficiency programs.
Create and sustain a positive predictable work environment that fosters high performance teams and individual excellence.
Sustain regular communications with direct reports and associates in areas of responsibility. Proactively coached and provided informal and formal performance feedback to direct reports and staff. Recognize and reward excellent team and individual performance.
Maintain adherence to all policies, procedures, programs, standards of performance, and approved business objectives, including those involving affirmative action, communications, community relations, human resources, labor relations, health and safety, and security.
Knowledge/Skills
Experience in coaching and performance improvement.
Demonstrated experience managing contractor and vendor relationships. • Demonstrated office operations and management experience including working knowledge of state and federal safety regulations and reporting requirements, including, but not limited to OSHA, Right-To-Know, and Hazardous chemical storage.
Personal computing experience, including Microsoft Office applications. (Add other systems here)
Familiarity with local, state, and federal regulations regarding land and building use, i.e.: ADA laws and compliance, environmental issues (asbestos, air quality, etc.) and their usage and safety standards.
Working knowledge of standard building systems and procedures consisting of structural, electrical, and mechanical plant, including heating, ventilation, air conditioning plumbing, fire/life safety systems, along with industry-standard property and facility maintenance and house service operating procedures.
Experience/Education
Bachelor's level degree or 10+ year of experience in a related business environment.
Minimum 10 years experience in facilities/building and/or property management of local and remote office locations or campus environment
Influencing and stakeholder management skills with the ability to communicate at different levels of the organization, preferably from C-suite leaders to individual contributors
