Job Overview

We're looking for a dynamic and task driven Sales & Estimation Specialist to join our team, drive growth, and help us manage and cultivate client relationships through business development. As the Sales & Estimation Specialist at Rooftopia, you will play a critical role in driving company growth through your sales efforts and accurate project estimations. You will work closely with clients to understand their vision, craft tailored proposals, meet sales goals, ensure seamless transitions from initial inquiry to project completion. This role also includes supporting marketing initiatives to further elevate Rooftopia's brand and connect new clients to our services.

Qualifications
  • Commitment to relationship-based sales built on trust, honesty, and mutual respect, reflecting Rooftopia's dedication to personalized, transparent service.
  • Bachelor's degree in Business, Landscape Architecture, Construction Management, or a related professional field preferred.
  • Familiarity with CAD software, SketchUp, or other design/rendering tools is a plus.
  • Strong understanding of outdoor construction practices, horticulture, or related fields.
  • Proficient in analyzing project scopes, interpreting technical drawings, and preparing accurate cost estimates using spreadsheets and customized templates.
  • Proven success in building and maintaining strong, long-term client relationships.
  • Skilled in addressing client concerns with innovative solutions that align with project goals and Rooftopia's philosophy.
  • Sharp ability to identify site challenges, accurately predict budgets, and spot discrepancies in project specifications or materials.
  • Experience in negotiating contracts with both clients and vendors.
  • Willingness to travel locally for site visits and client meetings, with availability for occasional evening and weekend events as needed.
  • Minimum of 2 years in sales and project estimation, preferably in landscaping, construction, or exterior design.
  • Excellent communication and interpersonal skills, with a collaborative, team-oriented mindset and a good sense of humor.
  • Strong time management and organizational skills, with the ability to work independently and achieve goals.
  • Familiarity with sustainable design principles and eco-friendly outdoor materials that align with Rooftopia's commitment to environmental stewardship.
  • Proficiency in Pipedrive/CRM software, project management tools, and the Microsoft Office Suite.

Key Responsibilities
  • Sales and Client Relations
  • Respond to client inquiries and develop relationships to understand project needs and budgets.
  • Coordinate phone calls and site consultations with new clients.
  • Measure and photograph site details to inform estimation and design phases.
  • Maintain organized client files and documents.
  • Generate customized and detailed project proposals and estimates based on client goals, and our customized solutions in a timely manner.
  • Follow up on leads, nurture client relationships, and convert inquiries into closed deals.
  • Set clear, achievable goals for sales targets and revenue growth in collaboration with management.

Project Estimation
  • Work independently to prepare detailed and accurate project estimates for a menu of options including landscaping, fine gardening & seasonal containers, rooftop decks, pergolas, outdoor kitchens, and outdoor living accessories.
  • Ensure estimates are aligned with realistic cost of materials and labor.
  • Ensure estimates are aligned with project timelines and budgets, and Rooftopia's commitment to sustainability.
  • Collaborate with team members and managers to ensure smooth transitions from estimate to execution.
  • Revise estimates during the development and planning phase of the project based on design goals and selected materials prior to contracts.

Marketing and Business Development
  • Assist in developing and implementing marketing strategies to attract new clients and retain existing ones.
  • Work closely with the marketing team to ensure brand messaging and sales materials are aligned.
  • Represent and advocate for Rooftopia at industry events, networking opportunities, and client meetings.

Collaboration & Reporting
  • Provide regular sales forecasts and progress reports to leadership.
  • Set measurable performance goals and track Key Performance Indicators (KPIs) to ensure individual and company growth.
  • Participate in team meetings to contribute to strategic planning and offer feedback on company-wide initiatives.
  • Work closely with Construction Manager, Designers & Fine Gardening Account Manager to maintain accurate forecasts for timing of new projects, scheduling and managing client expectations.
