About the Job:
  • Serve as the primary point of contact with internal team members, senior management, clients, and third parties, always using active listening skills and clear, professional delivery.
  • Manage complex calendars and coordinate meeting schedules for senior executives, balancing multiple priorities and ensuring deadlines are met.
  • Prepare technology and materials for internal and client meetings. Maintain a strong attention to detail, including grammar, punctuation, and formatting.
  • Utilize the firm's CRM system to manage contact management tasks.
  • Coordinate travel arrangements, prepare expense reports, and document client information as needed.
  • Help manage project timelines and tasks, ensuring deadlines are met and priorities are clear.
  • Anticipate the needs of senior executives, proactively managing initiatives and ensuring smooth operations.
  • Assist with administrative tasks, including front desk duties, C-suite support, and coordinating office events and projects.

About You:
  • Experienced. You have a minimum of three years of experience reporting directly to senior management, preferably in the C-suite.
  • Tech savvy. You are proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable with new software and CRM systems.
  • Proactive. You excel at making quick decisions, working independently, and managing multiple tasks without heavy supervision.
  • Confidential. You have experience working with sensitive information regarding client information.
  • Focused. You are detail-oriented and capable of handling multiple projects simultaneously while meeting deadlines.
  • Strong judgement. You demonstrate sound judgment and discretion when communicating with senior leadership and clients.
