Responsibilities of the Executive Assistant:
Compile, transcribe, and distribute minutes of meetings.
Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
Meet with individuals, special interest groups, and others on behalf of executives, committees, and boards of directors.
Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
Set up and oversee administrative policies and procedures for offices or organizations.
Open, sort, and distribute incoming correspondence.
File and retrieve corporate documents, records, and reports.
Greet visitors and determine whether they should be given access to specific individuals.
Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
Make travel arrangements for executives.
Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
Prepare responses to correspondence containing routine inquiries.
Prepare agendas and make arrangements, such as coordinating catering for luncheons.
Supervise and train other clerical staff and arrange for employee training by scheduling training or organizing training material.
Qualifications of the Executive Assistant:
Minimum 8+ years of related experience, working with C-suite level leaders with a high level of executive maturity
Proficient in Microsoft Office
Able to complete work quickly, react with appropriate urgency to situations that require a quick turnaround, and prioritize requests
High level of executive maturity and experience working with senior leadership team
Able to maintain confidentiality
Enjoys working in a team-oriented environment, but self-directed to achieve results
A "can-do" and positive attitude
Effective interpersonal skills, both written and verbal
Strong organizational skills, attention to detail and ability to balance multiple priorities
