The Role:

We are seeking a detail-oriented and proactive Business Operations Associate to join our team. This role will support operational activities within the business unit, ensuring efficient data management, system forecasting, invoicing, and client onboarding. You will collaborate with cross-functional teams, assist in process improvements, and provide essential business support to key leaders.

Key Responsibilities:

Business Unit Operational Support:
  • Serve as the point of contact for operational needs.
  • Streamline processes and collaborate with cross-functional teams to enhance efficiency.
  • Advise management on operational improvements.

Data & Reporting:
  • Collect and manage data to support decision-making.
  • Generate regular and ad-hoc reports on KPIs and metrics.
  • Analyze data to provide actionable insights.

System Forecasting, Time Entry, and Invoicing Support:
  • Assist in system forecasting for resource allocation.
  • Oversee time entry processes for employees and contractors.
  • Support invoicing tasks to ensure accurate billing.

Bullhorn Placement Management:
  • Maintain accurate placement records in Bullhorn.
  • Work with recruitment and account management teams to resolve placement-related issues.

Client Onboarding:
  • Facilitate a smooth onboarding experience for new clients.
  • Coordinate with internal teams to gather information and set up client accounts.
  • Serve as a liaison between clients and internal teams.

Systems Management:
  • Ensure data integrity between Bullhorn and Projector systems.
  • Manage client and contact entries in Bullhorn.
  • Update placement forecasts and collaborate on project end extensions or terminations.

Recruiting & Sales Support:
  • Update Job Orders in Bullhorn, ensuring accuracy of client feedback and requirements.
  • Manage VMS platforms and ensure job requisitions are entered correctly.
  • Post job openings on career sites and job boards to increase visibility.
  • Communicate with Recruiting Leaders to align on requirements and recruiting support.

Consulting Support:
  • Participate in weekly meetings, providing status updates on active placements.
  • Collaborate with account teams to ensure alignment on project data.
  • Review project documentation and update systems as necessary.
  • Assist with timecard submittals and approvals.

Additional Responsibilities:
  • Serve as a subject matter expert on VMS platforms.
  • Facilitate communication between departments on project status and updates.
  • Provide excellent customer service to internal teams and clients.
  • Support special projects as needed.

Required Qualifications:
  • High school diploma or equivalent (Bachelor's degree preferred).
  • 2+ years of experience in business operations or a similar role.
  • Proficiency in Microsoft Office and relevant software.
  • Strong organizational, multitasking, and communication skills.
  • Ability to manage sensitive information confidentially.
  • Proactive, adaptable, and collaborative mindset.

Preferred Qualifications:
  • Familiarity with Bullhorn ATS/CRM and/or Projector PSA platforms.
  • Experience in client-facing roles or managing client onboarding.
  • Knowledge of invoicing, time tracking, or financial systems.
  • Past Microsoft employee or experience

The anticipated base wage range for this role is $45,000-65,000.
