A global, publicly traded manufacturing company that is a leading supplier of materials for in solar tracking systems is looking for an Executive Assistant to support the President and the CHRO. The company has been in business over 30 years and has recently expanded. The role is 4 days in office, 1 day remote. There is a gym for employees in the building.
About the Job:
Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company
Vet and prioritize emails
Draft and prepare correspondence for internal announcements, Board meetings, and organizations the Executives are involved with
Handle confidential and sensitive information with discretion
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Maintain the President and CHRO's calendars, including scheduling meetings, and appointments, Maintain and manage a daily calendar of global meetings and events
Schedule internal and external meetings in multiple time zones, including preparing agendas, taking minutes, and following up on action items
Coordinate Board meetings
Assist with special projects, including research, data collection, and report preparation
Coordinate cross-functional initiatives and ensure timely completion of tasks
Serve as the primary point of contact for internal and external stakeholders
Draft and proofread emails, reports, and presentations
Coordinate complex travel arrangements including flights, cars, hotels, and other reservations including international travel
Prepare Word, Excel, PowerPoint presentations, decks, agendas, reports, special projects, and other documents in support of objectives for the organization.
Conserve Executives' time by reading, researching, collecting, and analyzing information as needed, in advance
Process expense reports
Limited off-hour availability
About You:
Minimum of 5 years of experience supporting a C-level executive
Background at a global company a plus
BA/BS from a college or university a plus
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Experience using SharePoint a plus
Dynamic and proactive comfortable in a fast-paced environment
Able to pivot easily
Polished, professional demeanor
Proactive go-getter; no task is too big or too small
Outstanding communication skills
