Boesen & Snow Law is a law firm located in Scottsdale, AZ with a focus on health law. Clients include individual healthcare providers and corporations related to healthcare delivery and support. Duties:
Greeting Visitors: Welcome and direct visitors and clients upon arrival, ensuring a professional and friendly first impression.
Answering Phones: Handle incoming phone calls, direct them to appropriate staff, or take messages as necessary.
Managing Appointments: Schedule and coordinate appointments, meetings, and conference rooms, including sending confirmations and reminders.
Handling Mail: Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and packages.
Office Supplies: Monitor and order office supplies as needed, ensuring the reception area and other office spaces are well-stocked.
Breakroom Upkeep: Maintain cleanliness and organization in the breakroom, including cleaning surfaces, and ensuring appliances are in working order.
Ordering Snacks and Beverages: Order and stock office snacks, beverages, and kitchen supplies, ensuring the breakroom is well-stocked and organized.
Administrative Support: Provide general administrative support, including data entry, filing, and preparing documents or reports.
Maintaining Reception Area: Keep the reception area clean, organized, and welcoming, including managing magazines, brochures, and other materials.
Document Management: Assist with document management tasks such as scanning, copying, and faxing documents.
Assisting Staff: Support office staff with various tasks as needed, including coordinating with other departments or providing coverage during breaks.
Other tasks as assigned by management.
Qualifications:
Education: High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
Experience: Previous experience as a receptionist, administrative assistant, or in a customer service role preferred.
Communication Skills: Excellent verbal and written communication skills with a professional and friendly demeanor.
Organizational Skills: Strong organizational and multitasking abilities with attention to detail.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., phones, printers, fax machines).
Interpersonal Skills: Ability to interact effectively with clients, visitors, and staff, demonstrating strong customer service skills.
Problem-Solving: Good problem-solving abilities and the capacity to handle unexpected situations calmly and efficiently.
Time Management: Effective time management skills and the ability to prioritize tasks and manage a busy workload.

Pay: $16-21/hour DOE, eligible for overtime pay
