ROLE & RESPONSIBILITIES
Responsibilities:
Ability to coordinate or manage projects that support department or company initiatives; ensure that expected results are achieved within the specified timeframe and on budget
Serve as a knowledge resource to department; acquire and maintain a detailed knowledge of operational policies, principles and strategies, and keep up-to-date with relevant developments.
Coordinates administrative tasks and project such as: tracking budgets, invoice coding, tracking travel expenses, generating reports, identifying variances, etc.
Plan, coordinate and manage logistics and on the ground support for meetings, trainings and activities for department
Support content development and internal communications using company style guides and ensuring accuracy and high-quality content.
Assist with the implementation and sustainment of new programs and processes.
Anticipate and find creative solutions to issues that arise; generate alternative or new ideas when faced with constraints
Proactively identifies and implements processes to improve workflow, organization and communication
Schedules or coordinates business travel as needed for Operations Vice Presidents and candidates for community leadership roles
Meeting and event management to include planning, coordination and tracking follow up accountabilities
Create and edit presentations and reports as needed for leadership and executive meetings
Provide calendar support to one or more leaders and/or a team
Maintain distribution lists for email and other communication related to operations
Assist with monthly reporting and any ad hoc reporting as needed
Assists with on-boarding of new Operations employees
Liaise with senior executives, officials & clients inside and outside of the organization.
Collaborate with and back up other administrative team members as needed
Special projects and other tasks as assigned
ESSENTIAL QUALIFICATIONS
3+ years' experience providing high quality administrative and project management support to operations leaders.
Ability to anticipate needs and passionate about providing top-level service to internal and external stakeholders.
Highly developed organizational skills, detail oriented.
Ability to meet multiple tasks/projects and deadlines through collaborative partnership with support teams at Home Office and interfaces across our 32 remote sites.
Strong professional written and verbal communication skills.
Demonstrated ability to handle confidential information with diplomacy and tact.
Genuine curiosity and passion for continuous learning.
Natural collaboration and consulting skills
Strong computer skills including fluency of Microsoft products.
