We pass the vibe check every time.Job DescriptionThe Office Coordinator is the glue that holds our administrative, operations, and customer service teams together, playing a pivotal role in driving company growth. At Right Choice, this is the person who ensures that all the people and processes just work. This role blends high-level communication with top-tier organization to keep everything running smoothly. If youre a super-organized, top-notch communicator who thrives on ensuring everyone is on the same page and delivering an unforgettable client experience, this is the role for you!Key Responsibilities:Administrative SupportManage company calendars ensuring that appointments and deadlines are scheduled, and conflicts are resolved. Managing company email inboxes and phone lines ensuring current clients and potential clients are receiving the royal client experience.Organizing Meetings & Tasks creating meeting agendas, assisting with meeting notes, and organizing to-dos into the project management system for the relevant team members Client SuccessNew Client Onboarding ensuring that new clients have a smooth onboarding process as they join the Right Choice family!Responding to Inquiries ensuring that clients are in the loop with their inquiries, requests, etc.Personal Touch handling client check-ins, company updates, sending birthday cards, celebrating client successes, etc. (We cheer loud for our clients!)Office ManagementProject & People Management ensuring that the team is in the loop with whats going on, outstanding tasks, etc. via the project management system and in person.External Representation act as the first point of contact for walk-ins, inquiries, phones calls, etc.Office Coordination - ensuring that the office is flowing smoothly whatever that looks like. QualificationsExperience & SkillsProfessional Experience: 2-3 years in an administrative, client success, or office management role. Experience in accounting, finance, or professional services is a plus.Cultural Alignment: Proven ability to authentically represent a brand and connect with a diverse clientele, while embodying Right Choices values and tone.Organizational Mastery: Exceptional organizational skills with the ability to juggle multiple responsibilities while staying focused and detail-oriented.Communication Excellence: Strong verbal and written communication skills, with an engaging and professional tone that resonates with clients and team members.Tech-Savvy: Proficiency with tools like project management software (we use ClickUp), Google Workspace, and basic CRM systems. Quick to learn new tools as needed.Personality & FitPeople-Focused: A natural connector who enjoys building relationships and making clients and teammates feel valued.Solutions-Oriented: A proactive problem-solver who thrives in a fast-paced, team-oriented environment.Brand Ambassador: Someone who takes pride in representing a proudly Black-owned and CPA-led firm, with an understanding of the importance of authenticity and excellence in client interactions.EducationBachelors degree preferred but not required if experience is strong. Your Work ScheduleLets be honestwho really needs an 8-hour workday every single day? Not us! Even on in-office days, once the work is done, so are you. We value results over hours!Our core hours are 10 AM 3 PM, Monday through Friday, so everyone is available to the team during that time. But dont worrywere not clock watchers. If logic (and your workload) says its time to go, then its time to go!Our phone systems are live between 10 AM 4 PM, but for project work? Whether you finish it at 4 PM or 8 PM, we dont mindjust meet your deadlines. Show up on time for scheduled meetings, be available during core hours, and get the job done.
