Description:

The Payroll Manager will oversee and supervise the organization's payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations.

Requirements:


Essential Functions

1. Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.

2. Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.

3. Prepares and maintains accurate records and reports of payroll transactions.

4. Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.

5. Facilitates audits by providing records and documentation to auditors.

6. Identifies and recommends updates to payroll processing software, systems, and procedures.

7. Performs other duties as assigned.


Quinn Specific duties:

1. Ensures employee time sheets are entered and submitted, follows up when they are missing.

2. Facilitates the supervisor approval process.

3. Enters special exception time sheets.

4. Exports payroll batch to Paylocity.

5. Make any payroll adjustments needed outside of time sheets, like referral bonuses, rate changes, etc.

6. Run the pre-process register.

7. Compare pre-process register with timesheets and payroll adjustments for accuracy.

8. Send register for approval.

9. Run/post payroll.

10. Stamp and mail direct deposit pay stubs and live checks.

11. Save all payroll reports on dropbox.

12. Run Unanet labor distribution.

13. Reconcile Unanet labor distribution to payroll reports.

14. Payroll journal entry to record payroll tax liabilities.

15. Prepare journal entry to record employee reimbursement, 401k, insurance etc.

16. Create employee time sheets in Infocus, for the next pay cycle.

17. Manage new/terminated employees Infocus/Unanet Licenses.

18. Run overhead report for VP and President.

19. Verify employee information on W-2s.

20. Process special year end payroll/bonus runs.

21. Add holiday calendar to Infocus.

22. Prepare end of year vacation balance spreadsheet.

1. Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.

2. Organizational skills.

3. Excellent time management skills and multi-tasking abilities.

4. Detail oriented.

5. Ability to prioritize work requests with minimal supervision.

6. Follows directions with minimal supervision.

7. Proficient with Microsoft Office Suite or related software.

8. Proficient with payroll and cost accounting software.


Supervisory Responsibilities

This position has no supervisory responsibilities.


Work Environment

This job operated in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, cameras, and fax machines.


Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties on this job, the employee is regularly required to talk and hear. Prolonged periods of sitting at a desk and working on a computer is required. The employee may stand; use hands to type, handle or feel; reach with hands and arms and requires the ability to occasionally lift office products and supplies up to 15 pounds.


Position Type/Expected Hours of Work

This is an in person, full-time position. Days and hours of work are Monday through Friday, 9:00am to 5:30pm. Flexible schedules are permitted with prior coordination and approval from supervisor.


Travel

No travel is expected for this position.


Required Education and Experience

A high school Diploma and a two-year associates degree in Accounting, Marketing, English, communications, associate's degree or 3 to 5 years of related experience required.


Preferred Education and Experience

As Associates or Bachelor's Degree with a focus in accounting, communications, business administration.


Additional Eligibility Qualifications

One year of increasingly responsible related experience, or any equivalent combination of related education and experience.


Work Authorization/Security Clearance (if applicable)

Must be eligible to work in the U.S.
