The Civil and Environmental Engineering Department in The Grainger College of Engineering seeks applicants for a 52% FTEEvents and Outreach Coordinator position. This position is responsible for organizing and hosting Civil and Environmental Engineering Transportation Conferences and Events, as well as managing related marketing and communications. Additionally, this role will develop marketing materials for Rail Transportation and Engineering Center (RailTEC) and provide support for RailTEC Conferences and Events.
Duties and Responsibilities:
Conference and Event Management :
Transportation Conferences/Events
Manage the annual THE and TES conferences including organizing conference planning meetings with internal staff and stakeholder volunteers, developing logistics for conference technical program and industry exhibitor sessions, overseeing online registrations for exhibitors and supporters, developing conference programs, coordinating conference registrations, and securing meeting space and catering.
Direct onsite logistics of THE and TES Conferences
Manage the relational database program, CVENT, to develop conference website applications such as attendee registration and payment pages, submission of conference abstracts, exhibitor, and supporter donations, etc.
Maintain websites for THE and TES Conferences including updating registration fees and links, exhibitor/sponsor lists, hotel information, and other conference details.
Rail Conferences/Events
Assist with RailTEC hosted conferences and seminars.
Provide back-up and troubleshooting in Cvent for RailTEC events.
Support onsite operations of rail conferences.
Marketing and Communications
Transportation Conference/Events
Create all graphic arts for THE and TES including programs, posters, logos, and other miscellaneous materials and artwork.
RailTEC
Develop marketing materials for RailTEC including brochures, booklets, logos, and other communications and artwork.
Perform other duties that support Transportation and RailTEC.
Minimum Qualifications:
Bachelor's degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.
One (1) year (12 months) of professional work experience in Events Planning, Conference Management, Public Relations, Communications, Marketing, or any other related field.
Preferred Qualifications:
One (1) year of experience with Cvent development and management.
Five (5) years of experience in a higher education environment.
Knowledge, Skills and Abilities:
Proficiency in Adobe Creative Suite (Illustrator, InDesign, Photoshop).
Understanding and execution of relational databases.
Excellent interpersonal, communication and organization skills.
APPOINTMENT INFORMATION
This is a 52% FTE Civil Service Events Admin Assoc position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for this position is $38,532- $40,560. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. Fully On-Site - This position will be expected to work at the University of Illinois Urbana-Champaign campus on a full-time basis per the University's Workplace Flexibility policy . Sponsorship for work authorization is not available for this position.
