POSITION DESCRIPTION:

The full-time office manager will be responsible for overseeing daily office operations, manage administrative tasks, and acting as the primary contact for consultants and customers, as well as providing top-tier support to the company's President for our skincare and beauty franchise operations. S/he will be the backbone of our office and point person for all customer service, and product and inventory management, owning various related systems/solutions and associated reporting. Always putting the customer first, this position and its success will be heavily dependent on a positive attitude, solid work ethic, and desire to go above and beyond. Be a part of an inspiring beauty business focused on excellence, innovation, and customer service. This position requires an on-site presence Monday through Friday during standard business hours. Candidates must be available and willing to work on-site.

DUTIES AND RESPONSIBILITIES:
• Communication & Collaboration. Provide first-line support, top-tier customer service, and resources with respect to inquiries to and requests of the company's customers and consultants, either providing resources/answers directly or providing direction to the appropriate resource for support (e.g., handling incoming calls and emails, processing orders, resolving inquiries / order issues, etc.). Collaborate with the company's President to lead and support the growth of the franchise.
• Financial, Product, and Records Management. Track office expenses and manage general administrative budget. Process order invoices, receipts, and payroll / commissions with precision. Pack and ship all orders accurately and maintain efficient inventory levels. Own and maintain all records, including filing & database systems (as well as parallel electronic document files) for the company's customer base (including order history).
• Product Education & Marketing. Create and execute marketing materials, including flyers, emails and social media posts to promote products and upcoming events. Assist with all product questions and education.
• Office Operations. Oversee space management, maintaining a clean and organized work environment. Manage vendor relationships for office services (e.g., inventory delivery, USPS, parcel carriers, etc.)Process mail and packages (in / outbound) and manage office supplies and equipment.
• Company Initiatives. Serve as lead and general support for all initiatives that may arise from time to time, including implementing or integrating new systems, synergies/efficiency efforts and other company initiatives.

POSITION QUALIFICATIONS:
• 3+ years of office administration/management experience
• Excellent organizational skills, initiative/ownership, intuitiveness, detail orientation, responsiveness, interpersonal skills, sensitivity to confidential information, and a can-do attitude
• Interpersonal skills to effectively communicate with internal and external parties
• Adept, creative and effective problem-solving skills and affirmative goal-oriented initiative.
• Demonstrate attention to detail with strong prioritization and organizational skills to maximize efficiency, ensuring deadlines are met.
• Demonstrate ability to handle and safeguard confidential and sensitive information
• Adept systems administration skills in terms of driving creative solutions, troubleshooting, and running reports
• Microsoft Office (Word, Outlook, Excel), Adobe, Canva, and strong computer skills. Shopify & Flight Commerce experience is preferred
• Office and department administration
