Job Description:

Our client, an innovative organization in the life sciences sector, is seeking a proactive and highly organized Administrative Coordinator to support their leadership team during a 6-month maternity leave contract. In this role, you will work closely with Senior Administrative Business Partners to provide seamless administrative support to executives. This is an excellent opportunity for a detail-oriented professional with a "no task too big, no task too small" mentality who thrives in a fast-paced environment.

Key Responsibilities:
  • Partner with Senior Administrative Business Partners to manage day-to-day administrative tasks, ensuring smooth operations for the leadership team.
  • Provide calendar management, including scheduling meetings, resolving conflicts, and ensuring executives are well-prepared for engagements.
  • Coordinate travel arrangements and prepare itineraries.
  • Process and manage expense reports with accuracy and timeliness.
  • Assist in planning and executing internal meetings and events, including preparing agendas, materials, and follow-up communications.
  • Serve as a point of contact for executives, maintaining a professional and approachable demeanor while handling sensitive information with discretion.
  • Take ownership of ad hoc administrative projects and tasks to support the team's goals.
  • Manage and prioritize multiple assignments while maintaining a high level of attention to detail.
  • Foster collaboration and communication across teams to support organizational priorities effectively.

Qualifications:
  • Proven experience in an administrative or executive support role, preferably in a fast-paced environment.
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Strong attention to detail and a proactive, solutions-oriented approach to problem-solving.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software tools.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • A "can-do" attitude, with a willingness to take on tasks of any size to support team success.
