Our client, an innovative organization in the life sciences sector, is seeking a proactive and highly organized Administrative Coordinator to support their leadership team during a 6-month maternity leave contract. In this role, you will work closely with Senior Administrative Business Partners to provide seamless administrative support to executives. Key Responsibilities:
Partner with Senior Administrative Business Partners to manage day-to-day administrative tasks, ensuring smooth operations for the leadership team.
Provide calendar management, including scheduling meetings, resolving conflicts, and ensuring executives are well-prepared for engagements.
Coordinate travel arrangements and prepare itineraries.
Process and manage expense reports with accuracy and timeliness.
Assist in planning and executing internal meetings and events, including preparing agendas, materials, and follow-up communications.
Serve as a point of contact for executives, maintaining a professional and approachable demeanor while handling sensitive information with discretion.
Take ownership of ad hoc administrative projects and tasks to support the team's goals.
Manage and prioritize multiple assignments while maintaining a high level of attention to detail.
Foster collaboration and communication across teams to support organizational priorities effectively.
Qualifications:
Proven experience in an administrative or executive support role, preferably in a fast-paced environment.
Exceptional organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
Strong attention to detail and a proactive, solutions-oriented approach to problem-solving.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software tools.
Demonstrated ability to handle sensitive and confidential information with discretion.
A "can-do" attitude, with a willingness to take on tasks of any size to support team success.
